Job Summary

Job Summary:

The Administrative Receptionist & Assistant plays a vital role in ensuring the smooth operation of the Admin department. This position is responsible for front desk management, Incoming phone calls, administrative support that could include HR initiatives. The ideal candidate is highly organized, professional, and proactive, with the ability to handle confidential information with discretion.

Job Detail:

Receptionist Duties:

Serve as the first point of contact for visitors to the Corporate Administrative building, greeting and directing them appropriately.

Monitor building access system by responding to doorbell notifications, verifying visitors, and granting access to authorized individuals

Manage UniFirst’s main phone line, answering inquiries and routing calls to the appropriate personnel across the organization.

Handle incoming and outgoing mail and packages for the Office.

Maintain a clean, organized, and welcoming reception area.

Support Admin, accounting, and HR teams with administrative tasks, such as printing, scanning, filing, and data entry and other tasks as assigned.

Coordinate with HR for interviews and greet candidates upon arrival

Assist with logistics of company meetings and events

Administrative Support Duties:

Provide Back-up support for accounts payable & accounts receivable functions

Handle Auto Renewal Letters for existing customers and send letters weekly

Assist Senior Accountants with bank reconciliation needs

Perform other administrative duties and special projects as assigned

Requirements:

Experience

Minimum of 3 years in a receptionist, administrative assistant role.

Strong organizational skills with the ability to manage multiple priorities simultaneously.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to maintain a professional appearance and demeanor at all times.

High level of discretion and confidentiality.

Positive, can-do attitude with a focus on customer service and team collaboration.

Education

High school diploma or equivalent required; associate or bachelor’s degree preferred.
