Full Job Description

Position Summary

The Accounts Payable Specialist is responsible for executing and optimizing day-to-day accounts payable operations with a strong emphasis on system integrity, compliance, and process efficiency. This role requires advanced proficiency in Workday, including Workday Financials and the Workday Payables module, to ensure accurate transaction processing, reporting, and internal control adherence. The Specialist supports organizational financial operations by performing invoice review and processing while ensuring timely payments to vendors, employees, and students (as applicable).

The Specialist serves as the sole functional lead responsible for end-to-end management of accounts payable operations, maintaining ownership of all activities within the function, from transaction execution through reporting and compliance. This role utilizes Workday Financials and PaymodeX, a third-party payment processor, to ensure efficiency and accuracy throughout the full accounts payable lifecycle, including providing support and training to budget managers who receive and initiate invoices in Workday for approval. The Specialist reviews invoices and reimbursements for accuracy and alignment with financial policies and provides final approval before transactions are initiated for payment.

Essential ResponsibilitiesInvoice Processing & Payment Management

Manage the full-cycle, end-to-end accounts payable process.
Review, validate, and process vendor invoices, purchase orders, employee expense reimbursements, and miscellaneous payment requests in Workday and PaymodeX.
Ensure accuracy of coding, approvals, tax treatment, and compliance with procurement and finance policies.
Match invoices to purchase orders and receipts; resolve discrepancies with internal departments and procurement teams.
Process supplier, employee, and student payments (ACH, check, wire) in accordance with payment schedules and deadlines.
Conduct weekly reviews of invoice requests, invoices, and expense reimbursement status reports to identify unapproved, pending, or stalled items and follow up with approvers to ensure timely processing.
Respond to and independently resolve vendor invoice, employee expense, and payment inquiries, including lost or contested payments.
Ensure all accounts payable inbox items and inquiries are reviewed and resolved or appropriately documented on a daily basis.
Perform other related accounts payable duties and projects as assigned.

Workday Financials Utilization

Identify and troubleshoot Workday errors, invoice routing issues, and workflow delays.
Maintain accurate supplier records and assist with supplier onboarding in Workday.
Ensure each vendor has an up-to-date Form W-9 on file before payments are processed.
Generate and analyze Workday reports for accounts payable activity, reconciliations, audit support, and month-end close activities.

Compliance, Audit & Documentation

Ensure adherence to organizational policies, state and federal regulations, and accounting best practices.
Maintain organized and audit-ready documentation for all accounts payable transactions.
Support internal and external audits by preparing documentation and responding to inquiries.
File annual Form 1099s with vendors and appropriate agencies.
Maintain accurate and up-to-date documentation of accounts payable processes and procedures.

Customer Service & Operational Support

Provide responsive support regarding payment status, policies, and Workday processes.
Collaborate with internal stakeholders to resolve invoice issues, payment questions, and supplier concerns.
Assist departments with Workday navigation related to accounts payable tasks.

Process Improvement & Team Collaboration

Participate in cross-training with finance staff to support vacation and absence coverage.
Recommend and support improvements to accounts payable workflows and Workday configurations.
Support training efforts for users on accounts payable procedures and Workday functionality.
Participate in finance team meetings, projects, and year-end close activities.

Minimum Qualifications & Skills

Demonstrated experience and proficiency with the Workday Accounts Payable module.
Experience managing the full accounts payable function.
Experience reviewing vendor Form W-9s and categorizing them appropriately for Form 1099 reporting.
Bachelor’s degree or equivalent related experience.
5+ years of related work experience.
Strong attention to detail and ability to troubleshoot accounts payable issues.
Demonstrated ability to work independently, proactively identify and resolve issues, and communicate effectively.
Strong interpersonal skills, collaborative mindset, and ability to build trust across departments and organizational levels.

Preferred Qualifications

Experience using PaymodeX or similar third-party payment processors.
Proficiency in additional Workday Financial Management modules, including general ledger, budgeting, reporting, and grants management.
Knowledge of fund accounting, GASB standards, and nonprofit financial reporting.
