Full Job Description

SCKEDD is a nonprofit organization dedicated to improving housing, community infrastructure, and economic vitality throughout south central Kansas. Through the Kansas Weatherization Assistance Program, we help income-qualified households reduce energy costs while improving the safety and comfort of their homes.

SCKEDD is seeking a detail-oriented and customer-focused Administrative Assistant to support our Weatherization Department. As the Administrative Assistant, you'll be the organizational hub of our Weatherization team, helping inspectors stay on schedule, ensuring clients receive timely service, and keeping our federally funded program running efficiently. Starting pay begins at $17.30 per hour, with compensation based on qualifications and relevant experience. This position is based in our Wichita office at 1861 N. Rock Road, Suite 310, and follows a Monday through Thursday schedule of 8:00 a.m. to 5:30 p.m. and Fridays from 8:00 a.m. to 12:00 p.m. All new employees are subject to a 90-day introductory employment period. SCKEDD is a drug-free workplace.

What You'll Do

Serve as the first point of contact for clients, contractors, and community partners.
Answer phones, respond to emails, and assist walk-in visitors professionally and courteously.
Schedule appointments, inspections, and meetings.
Maintain electronic and paper client files while ensuring accuracy and confidentiality.
Enter and update client and program data in agency databases.
Prepare correspondence, reports, forms, and other program documents.
Assist with processing invoices, purchase orders, and other administrative paperwork.
Coordinate mailings and maintain office supplies and equipment.
Coordinate travel arrangements for staff attending meetings, conferences, and trainings.
Support Weatherization staff with daily administrative needs and special projects.
Help ensure compliance with federal, state, and agency documentation requirements.

What We're Looking For

High school diploma or equivalent required; associate degree or administrative experience preferred.
Previous office, administrative, customer service, or data entry experience preferred.
Excellent organizational skills and strong attention to detail.
Strong written and verbal communication skills.
Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, and SharePoint as well as the ability to learn new software systems.
Ability to prioritize multiple tasks while meeting deadlines.
Professional, dependable, proactive, and self-motivated with excellent problem-solving skills.
Willingness to support team goals and departmental initiatives.
Reliable transportation to and from work; occasional local travel may be required.

Physical Requirements

Regular use of a computer, keyboard, telephone, and other standard office equipment.
Ability to sit for extended periods while working at a computer.
Occasional standing, walking, filing, bending, squatting, and lifting up to 25 pounds.
