Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth day-to-day functioning and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. The ideal candidate is proactive, tech-savvy, and possesses excellent communication skills, including bilingual abilities, to serve diverse needs effectively. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant workplace culture. Mon-Fri 8:30am-5:00 pm

Duties

Obtain authorizations for bariatric workup-psych, , cardiac, pulmonary,etc.
Obtain authorizations for CT, MRI, Ultrasound, etc) Monitor pending authorizations-once approved, send to patient. Verify eligibility and benefits for surgery Review daily schedules for orders Request testing and clearances for workup
Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
Operate multi-line phone systems, handle incoming calls, and route inquiries efficiently
Maintain organized filing systems, both physical and digital, including data entry and document proofreading
Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and report creation
Oversee calendar management for executives or team members, coordinating meetings and appointments with precision
Provide customer support through courteous communication and prompt resolution of inquiries or issues
Perform clerical tasks such as photocopying, faxing, mailing, and inventory management of office supplies
Assist with bookkeeping activities using QuickBooks or similar accounting software when needed
Support office management tasks including organizing files, managing office supplies inventory, and maintaining a clean workspace
Handle medical or dental receptionist duties if applicable, including patient check-in and appointment scheduling

Experience

Proven office experience with a strong background in administrative support roles
Prior clerical experience demonstrating proficiency in data entry, filing, proofreading, and document management
Familiarity with QuickBooks accounting software and Google Workspace applications (Docs, Sheets, Calendar)
Experience managing multi-line phone systems and providing excellent phone etiquette in a professional setting
Bilingual skills are highly desirable to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Demonstrated customer service expertise with a friendly demeanor and problem-solving abilities
Knowledge of medical or dental receptionist duties is a plus but not required
Personal assistant or office management experience will be considered an asset
