Position Information

Hiring Department: School of Pharmacy

Reports To: College Administrative Officer

Job Location: On-site; El Paso

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: $40,480 annually, commensurate with experience.

Position Summary

Under limited supervision, provides coordinating services, keeps official records, and executes administrative policies determined by or in conjunction with other officials, within area of assigned responsibility.

Statement of Duties and Responsibilities:

Maintain detailed tracking of Faculty development funds (Excel-based reporting), startup accounts (Excel-based reporting), all cost centers and grants (with PeopleSoft backup documentation)

Initiate and process transactions in PeopleSoft, including: Expense reports, Non-PO vouchers, Travel authorizations, Personnel and position eForms

Review and submit Miner Mall requisitions complete receipts for purchase order closure and payment processing

Coordinate travel logistics for faculty

Provide administrative support across the College

Respond to requests for information and operational support needs

Manage office supply inventory and ordering

Coordinate awards and recognition purchases

Plan and support events, including banquets

Submit facilities access requests

Initiate criminal background checks

Coordinate simulated patient payments and APS documentation

Onboard new vendors

Coordinate end-to-end faculty recruitment logistics: arrange candidate travel and accommodations, develop and manage interview itineraries, schedule and coordinate search committee interviews, escort candidates as needed during campus visits

Advises activities of staff in a business function, division, or department.

Creates documents and materials that follow organizational standards and branding.

Coordinates the implementation of techniques for evaluating business functions or division or department activities.

Organize budget requests, monitors budget expenditures, and makes adjustments as necessary.

Coordinates, monitors, and evaluates policies and procedures and monitors compliance with policies and procedures.

Identifies areas of needed change and makes recommendations to improve operations.

Cross-train and provide coverage for front desk duties as needed.

May support staff development plans and activities.

May represent the business function, division, or department at meetings, conferences, and seminars or committees.

Plans, assigns, and supervises the work of others.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties may be assigned.

Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.

Education: Bachelor’s Degree

Experience: 0-2 years of related experience; or equivalent combination of education and experience
