Title: Marketing Project Coordinator
FLSA Status: Exempt
Reports To: Marketing Manager
Position Summary:
The Project Coordinator is the operational backbone of the marketing team, ensuring projects move forward, events are executed seamlessly, and day-to-day department operations run efficiently. Working closely with the Marketing Manager, Brand Manager, and Events Coordinator, this role provides tactical support to help remove bottlenecks, coordinate projects, and manage marketing systems. This is an excellent opportunity for someone who enjoys organization, solving problems, and improving processes, with room to grow into additional marketing responsibilities over time.

Key Responsibilities:
Marketing Operations
- Coordinate day-to-day operational activities for the marketing department
- Maintain project tracking systems, task boards, and departmental workflows
- Follow up on outstanding deliverables, approvals, and internal requests
- Process receipts and assist with expense tracking and reporting
- Maintain marketing documentation, checklists, and standard operating procedures
- Manage department memberships, subscriptions, and renewal schedules
- Coordinate routine requests between Marketing, Sales, Operations, and other departments
- Continuously identify opportunities to improve efficiency and simplify processes
Project Coordination
- Monitor marketing projects across the department to ensure deadlines remain on track
- Maintain project visibility using Microsoft Loop, Planner, and Ninety.io
- Proactively identify scheduling conflicts, bottlenecks, or resource constraints
- Attend weekly marketing meetings and provide project status updates
- Help keep projects moving by following up on action items and deliverables
- Ensure project information remains current, organized, and accessible
Event & Logistics Support
- Manage event swag ordering, inventory, shipping, and fulfillment
- Coordinate registration logistics for conferences and events
- Prepare event materials using established templates
- Organize booth supplies, promotional materials, and shipping logistics
- Manage FedEx shipping and outbound marketing shipments
- Assist with onsite event setup and breakdown as needed
- Execute post-event follow-up activities and documentation
Marketing Support
Depending on experience and business needs, this role will also assist with:
- Updating website content in WordPress
- Creating simple graphics in Canva
- Supporting email marketing campaigns
- Coordinating social media scheduling
- Assisting with marketing collateral updates

Supervisory Responsibility:
This role has no supervisory responsibilities.
Work Environment:
This is a full-time, in-office position located in Oklahoma City, operating in a collaborative, fast-paced environment with frequent interaction across departments. This role routinely uses standard office equipment such as computers, printers, phones, and copiers.
Physical Demands:
This is a moderately physical role. The employee must occasionally lift and/or move event materials, boxes, and shipping supplies, and may be required to assist with onsite event setup and breakdown.
Position Type and Expected Hours of Work:
This is a full-time position with typical working hours of Monday through Friday 8:00 a.m. to 5:00 p.m. Hours and work shift may change in accordance with business needs.
Required Education and Experience:
- High school diploma or equivalent
- 1+ years of experience in administrative, marketing support, operations, or project coordination role
- Exceptional organizational and time management skills
- Strong written and verbal communication
- Ability to manage multiple priorities in a fast-paced environment
- Excellent attention to detail
- Self-motivated with strong follow-through
- Proficiency in Microsoft Office and Microsoft 365 applications
- Comfortable learning new software and business systems
Preferred Education and Experience:
- Associate or bachelor’s degree in marketing, Communications, Business, or a related field
- Experience with Microsoft Planner, Microsoft Loop, Asana, Monday.com, or similar project management tools
- Experience with WordPress or content management systems
- Experience supporting marketing teams
- Experience coordinating events or logistics
Additional Eligibility Qualifications:
Must be able to accomplish all duties with little to no assistance.
