Rehabmart is seeking an experienced Order Processing Coordinator to support the daily operations of our Order Processing Department.
This is a hands-on operational leadership role for someone who understands how to keep a high volume of orders moving while also helping coordinate the people, priorities, and processes behind them. The Senior Order Processing Coordinator will work closely with our Order Processing Team Lead and Specialists to oversee purchase order workflows, maintain quality and accuracy, resolve complex order issues, and help ensure orders progress efficiently from receipt through vendor fulfillment.
The ideal candidate is highly organized, comfortable managing multiple priorities, and naturally takes ownership when something is delayed, unclear, or requires additional follow-through.
Key Responsibilities
- Coordinate daily Purchase Order and Order Processing workflows, helping ensure work is prioritized and distributed appropriately across the team.
- Review and audit incoming purchase orders and quote conversions for accuracy, completeness, pricing, product requirements, customer information, and shipping instructions.
- Support the processing of complex or escalated purchase orders that require additional research, coordination, or problem-solving.
- Monitor open and aging orders and identify items requiring vendor follow-up, additional information, escalation, or corrective action.
- Maintain a high level of quality assurance before purchase orders are submitted to Rehabmart vendors.
- Work directly with vendors to resolve order discrepancies, availability issues, pricing questions, lead times, shipping concerns, and other fulfillment challenges.
- Coordinate across Customer Service, Quotes, Vendor Relations, Accounting, Freight, Returns, Content Services, and other internal teams to resolve order-related issues.
- Provide workflow support, guidance, and day-to-day assistance to Order Processing Specialists.
- Assist with training, onboarding, departmental documentation, and maintaining consistent Order Processing procedures.
- Help identify recurring errors, workflow bottlenecks, and opportunities to improve departmental efficiency.
- Monitor departmental workload and operational metrics to help management identify areas requiring attention.
- Participate in the testing and implementation of new processes, internal tools, automation, and AI-assisted workflows that improve accuracy or reduce repetitive work.
What We're Looking For
- 3+ years of experience in a leadership, team lead, coordinator, or supervisory role, preferably within order processing, purchasing, fulfillment, e-commerce operations, or a related environment.
- Highly organized and detail oriented with strong follow through in a fast paced, high volume environment.
- Confident communicating with vendors, customers, and internal teams to resolve order issues.
- Comfortable coordinating workflows, supporting team members, and helping maintain accountability and consistent processes.
- Strong problem solving skills with the ability to identify issues, prioritize next steps, and move work toward resolution.
- Proficient with Google Workspace and Microsoft Excel and comfortable learning new order management, reporting, automation, and AI enabled tools.
- Previous experience with purchase orders, vendor management, or team coordination is preferred. DME or healthcare experience is helpful but not required.
