Administrative Assistant / Bookkeeper

Location: South Barrington, IL (In office)
Job Type: Full-Time (Mon-Fri 9-5)
Salary: $20.00 per Hour

About Us

We are a growing company seeking a detail-oriented and dependable Administrative Assistant / Bookkeeper to support our daily operations. This role is primarily focused on administrative responsibilities, with occasional bookkeeping support as needed. The ideal candidate is organized, proactive, and enjoys keeping an office running efficiently.

Key ResponsibilitiesAdministrative Duties

Answer phones, respond to emails, and greet visitors professionally.
Manage calendars, schedule meetings, and coordinate appointments.
Prepare reports, presentations, and business correspondence.
Maintain organized digital and physical filing systems.
Assist with medical credentialing and related documentation.
Order office supplies and coordinate with vendors.
Assist with special projects and general office operations.

Bookkeeping Support (Occasional)

Provide backup administrative support to the Accountant as needed.
Assist with basic data entry in QuickBooks.
Help organize and maintain financial records and files.
Assist with invoices, payment tracking, and other routine accounting tasks.
Perform other light bookkeeping duties as assigned.

Qualifications

High school diploma or equivalent required; Associate's degree in Business, Accounting, or related field preferred.
2+ years of administrative experience; bookkeeping experience is a plus but not required.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Experience with QuickBooks is preferred.
Strong organizational and time-management skills.
Excellent written and verbal communication.
High attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information.

Preferred Skills

Experience in an office administrative role.
Basic familiarity with bookkeeping or accounting software.
Strong problem-solving and multitasking abilities.
Comfortable working independently and as part of a team.
