Full Job Description

We are seeking a highly organized, energetic, and customer-focused Customer Care Coordinator to join our team.

The Customer Care Coordinator plays a critical role in the day-to-day success of our clients and caregivers. This position is responsible for coordinating client schedules, ensuring appropriate care coverage, maintaining strong communication with clients, families, and caregivers, and helping resolve the many challenges that arise in a fast-paced home care environment.

This position is much more than scheduling. We are looking for someone who takes ownership, anticipates problems, builds relationships, follows through, and understands that our clients depend on us every day. The ideal candidate is self-driven, comfortable managing multiple priorities, technologically savvy, and willing to step in and help wherever needed to provide an exceptional client and employee experience.

Responsibilities

Scheduling & Care Coverage

Coordinate and maintain client and caregiver schedules to ensure appropriate coverage and continuity of care.
Match caregivers with clients based on availability, skills, location, personality, and individual client needs.
Proactively identify potential scheduling gaps and work to resolve them before they become problems.
Respond with urgency to caregiver call-outs, schedule changes, new cases, and other unexpected staffing needs.
Communicate schedule changes promptly and professionally with clients, families, caregivers, and appropriate office staff.
Utilize scheduling software and other technology tools to efficiently manage schedules, document communication, and maintain accurate records.
Work closely with Recruiting and Onboarding to communicate current and anticipated staffing needs.
Help transition newly hired caregivers into appropriate client assignments.
Assist with on-call responsibilities as assigned.

Client & Family Relationships

Serve as an important point of contact for clients and families regarding scheduling and day-to-day service needs.
Develop strong, professional relationships with clients and their families.
Maintain regular communication to ensure client expectations are being met and concerns are addressed promptly.
Take ownership of client concerns and work collaboratively with the appropriate team members toward resolution.
Recognize when an issue needs to be escalated to Nursing or leadership and communicate it promptly.
Maintain a client-first approach in decisions and interactions.

Caregiver Relationships

Develop positive working relationships with caregivers and maintain regular communication regarding schedules, availability, and assignments.
Understand caregiver strengths, preferences, and availability to help create successful client/caregiver matches.
Help caregivers feel supported and connected to the office.
Address scheduling issues professionally while maintaining appropriate expectations and accountability.
Identify potential caregiver concerns and communicate them proactively to the appropriate team member.

New Clients & Customer Service

Assist with the intake and coordination of new clients.
Communicate professionally with prospective clients and families regarding BrightStar Care's services and what differentiates our agency.
Help ensure new clients have a smooth transition from initial inquiry to the start of care.
Provide exceptional customer service during every interaction with clients, families, caregivers, and referral partners.
Follow up on issues and requests to ensure they are resolved rather than assuming someone else will handle them.

Teamwork & Operations

Work closely with Customer Care, Nursing, Recruiting, Onboarding, Sales, and leadership to provide a seamless experience for clients and employees.
Communicate important information proactively and accurately.
Participate in team meetings and discussions regarding client needs, staffing challenges, and service concerns.
Maintain accurate and timely documentation in company systems.
Follow agency policies and procedures and maintain confidentiality in accordance with HIPAA requirements.
Assist with quality and performance-improvement initiatives as requested.
Be willing to support teammates and other office functions when needed.

Qualifications

High School Diploma or equivalent required.
Previous scheduling, customer service, staffing, healthcare, or home care experience strongly preferred.
Previous experience coordinating employee schedules strongly preferred.
Home care experience is a plus.
Strong computer skills, including Microsoft Office and the ability to quickly learn scheduling and healthcare software.
Excellent organizational, time-management, and problem-solving skills.
Excellent written and verbal communication skills.
Strong attention to detail and follow-through.
Knowledge of HIPAA and healthcare office requirements preferred.
Valid driver's license and state-required proof of automobile insurance.

Home care is a fast-moving business. Caregivers call out, client needs change, new cases can start quickly, and priorities can shift throughout the day.
