Full Job Description

Minimum Requirements

Associate degree from a regionally accredited institution.
One or more years work experience in an office administrative position.
Demonstrated computer skills including MS Office - Word, Excel and/or Access, and PowerPoint.

Preferred Requirements

Bachelor’s Degree from a regionally accredited institution.
Three or more years work experience in an office administrative position.
Excellent demonstrated knowledge of and experience with Colleague.
Excellent demonstrated computer skills including MS Office - Word, Excel and/or Access, and PowerPoint.
Experience with generating Informer reports.
Experience with NC eProcurement.

Primary Functions of Position

Under the supervision of the Dean of Student Learning and Innovation, the Student Learning and Innovation Program Specialist provides administrative and program support to the Dean and other members of the department. Additionally, the Specialist acts as the point of contact with the college’s textbook vendor to ensure accurate and timely delivery of course materials across the college. With the Dean’s input, the Specialist plans, develops, and monitors community service courses and ensures that department documentation for compliance is collected and submitted in a timely and accurate manner. In order to accomplish the objectives of the position, the program specialist performs the following functions:

Essential Duties:

Assists in maintaining the course and program records for the Student Learning and Innovation departments.
Builds, monitors, and maintains contract spreadsheets each semester for adjunct instructors and full-time instructors’ overload.
Accurately generates contracts in Colleague for all instructors and maintains employment records and time sheets as needed.
Builds sections, registers students, and grades courses for Community Service and other courses and programs in the department.
Enters hours for literacy and community service students.
Maintains a secure filing system for all confidential client information.
Conducts internal audits to comply with FTE compliance reviewer's recommendation to help identify potential audit exceptions.
Provides class records and reports for FTE and fiscal auditors/compliance reviewers upon request.
Monitors enrollment data throughout the semester to make sure errors are kept to a minimum.
Receipts registration monies and validates receipt rosters in the Business Office.
Prints and reviews Status of Classes Report on a weekly basis to monitor the progress of registration, cancellation of classes, and receipt of grades for classes which have ended.
Verifies timesheets/reports for part-time instructor payroll.
Provides information about programs and assists students, visitors, colleagues, customers, and faculty and staff members at the College.
Assists with answering incoming calls to the division as needed and assists with walk-in registrations as needed.
Serves as an initial point of contact for students, visitors, instructors, and staff; determines the general nature of their needs and directs them to appropriate programs/staff with excellent customer service skills and professionalism.
Provides back-up assistance for all other program areas in the Division.
Assists with the promotion of department projects and seminars through brochures, mailings, and other correspondence.
Maintains a working knowledge of workforce development, continuing education, and curriculum course and program offerings at the college.
All employees are responsible to ensure compliance and confidentiality with all policies and procedures of the College, NC Community College System, and applicable State and Federal regulations.
Initiates and inputs requisitions for purchase of supplies and materials; keeps accurate records of purchases and reconciles accounts for the division.
Assists faculty and staff with blanket, in-county, in-state, and out-of-state travel including processing registrations, making hotel reservations, etc.
Ensures accuracy and completeness of staff and instructor budget requests.
Prepares and distributes correspondence for the department and division as needed.
Provides administrative support for the Dean and division as needed.
Serves as the point of contact with BibliU regarding book orders for campus.
Coordinates the book orders for the campus each semester.
Works directly with BibliU representatives concerning book orders and any subsequent changes.
Serves on college committees/workgroups.
Performs other duties as assigned by the Dean of Student Learning and Innovation.
