Job Title: Staffing Supervisor

Reports to: Program Director

Works in Collaboration With: Lead Care Managers, Navigators, Authorization Manager, Billing & Ops Assistant, Staffing Coordinator, Community Liaison

Location: This is hybrid position. You will be required to have a HIPAA complaint at home office and meet (at minimum quarterly) in Sacramento and surrounding counties. While the position is hybrid, you must be located in Northern California. Those who do not reside in the surrounding areas will not be considered.

Position Summary

The Staffing Supervisor oversees the daily operations, staff performance, and quality improvement initiatives of the entire ASC organization. This role provides direct support and leadership to Lead Care Managers and program staff, ensures compliance with internal policies and external regulatory requirements, and contributes to ongoing program development. The Supervisor is a key driver of team excellence, program integrity, and service consistency.

Essential Job Duties and Responsibilities Staff Oversight & Support

Supervise Lead Care Managers and Care Navigators across regions and all programs; checking tasks weekly, providing support and direction and helping the team overcome barriers
Conduct regular check-ins, team meetings, and one-on-one support sessions
Provide coaching, mentorship, and training
Address staffing concerns, workflow gaps, or documentation issues in real-time
Assist with team member hiring and onboarding support
Provide back-up support to Authorization Manager with authorization processes and MCP-required reporting

Compliance & Quality Assurance

Maintain and update internal policies and protocols to meet DHCS and MCP requirements
Monitor documentation compliance (e.g., timely assessments and care plans, encounter notes, authorizations) across all programs
Audit care plans, service logs, and other program deliverables
Lead annual and quarterly quality improvement (QI) initiatives tied to outcomes and compliance

Performance Management

Support performance evaluations, recognition initiatives, and disciplinary processes across all programs
Track all staff output, productivity, and documentation metrics using internal trackers and reports
Provide constructive feedback and implement corrective actions as needed
Escalate complex staffing or compliance issues to the Program Director

Program Development & Process Improvement

Develop and test new workflows, tools, or protocols to improve service delivery
Collaborate on the rollout of new forms, staff training, or program enhancements
Provide insight on policy impacts and support strategic growth efforts
Support change management across teams and roles

Cross-Team Collaboration

Work closely with Authorization Manager to align on documentation timelines and billing readiness
Partner with program leadership to assess caseload capacity and assist with role planning
Communicate program updates and key expectations clearly to staff and leadership

General Expectations

Demonstrate professionalism, initiative, and follow-through in all supervisory responsibilities
Be flexible and adaptable in supporting a fast-growing program with multi-county teams
Uphold confidentiality and ensure staff maintain HIPAA compliance
Foster an inclusive and supportive team culture, leading staff with empathy and respect and recognizing individual needs, while also maintaining accountability and clear expectations of performance standards
Lead by example and support ASC’s mission, values, and vision
Communicate clearly, professionally, and respectfully internally across departments and regions and externally with clients, care teams, and MCPs.
Attend leadership and compliance meetings and represent the program as assigned
Maintain accurate documentation and records of supervisory actions and staff outcomes
Manage time effectively, prioritize competing demands, and meet multiple deadlines with accuracy

Qualifications

Bachelor’s degree in social work, healthcare, or related field required
Minimum 2 years of leadership or supervisory experience in a community-based or healthcare setting
Proficient with CalAIM and MCP requirements and reporting
Strong knowledge of care coordination, documentation, and quality assurance
Excellent interpersonal and problem-solving skills
Knowledge of Kaiser, Anthem, Health Net, Partnership, Molina, and/or Healthplan of San Joaquin highly preferred
Proficiency in Google Workspace, SalesForce, or equivalent platforms
Valid California driver’s license and ability to work across regions

Work Setting

80% remote / home-office based
20% in-person for supervision, training, and regional team support
