Job Summary
The Facilities Manager is responsible for overseeing the daily management, maintenance, and upkeep of all company-owned or leased properties and surrounding grounds across Newport Industries locations. This role ensures that all buildings, parking lots, exterior spaces, and facility systems are maintained in a safe, clean, functional, and professional manner. Responsibilities include coordinating and overseeing all maintenance work, vendor management, preventive maintenance programs, landscaping, snow removal, plumbing, electrical, HVAC, and general property operations.

The Facilities Manager serves as the primary point of contact for all facility-related operations and works closely with leadership, employees, contractors, and vendors to ensure efficient and cost-effective property management.

Responsibilities

Manage and supervise facilities maintenance teams to ensure timely completion of repairs and preventive maintenance tasks
Oversee the maintenance and repair of mechanical systems, including HVAC (Heating, Ventilation, and Air Conditioning), electrical systems (high voltage and low voltage), plumbing systems, and other building infrastructure
Develop and implement maintenance repair procedures aligned with safety regulations such as OSHA standards
Utilize Computerized Maintenance Management Systems (CMMS) to schedule work orders, track asset history, and optimize maintenance workflows
Troubleshoot engineering issues using schematics, electrical testing tools like ohmmeters, and mechanical troubleshooting techniques
Ensure compliance with safety regulations by conducting regular inspections and maintaining accurate safety documentation
Coordinate projects related to facilities upgrades or repairs while managing budgets, timelines, and vendor relationships

Required Knowledge, Skills & Training:

High School diploma or GED required.
2 - 3+ years of experience in facilities management, property maintenance, building operations, or related field.
Knowledge of commercial building systems including HVAC, plumbing, electrical, roofing, and general maintenance.
Experience managing multiple properties and vendor relationships.
Knowledge of preventive maintenance programs and facility inspections.
Experience coordinating landscaping, snow removal, janitorial, and general property services.
Strong organizational and communication skills.
Ability to prioritize tasks and respond effectively to maintenance issues and emergencies.
Strong problem-solving and decision-making abilities.
Proficiency in Microsoft Office Suite and basic web-based applications.
Knowledge of OSHA safety practices and general building code compliance preferred.

Essential Job Functions:

Property & Facilities Management – 50%

Oversee the daily operations, maintenance, and appearance of all company properties and facilities.
Frequent travel to company properties and facilities as needed to support business operations and organizational objectives.
Ensure all buildings, offices, parking lots, sidewalks, landscaping, and exterior grounds are properly maintained.
Coordinate and oversee all maintenance and repair work including plumbing, electrical, HVAC, roofing, lighting, painting, and general building repairs.
Conduct regular inspections of facilities and grounds to identify maintenance needs and safety concerns.
Ensure all facilities remain clean, safe, operational, and professional in appearance.
Manage facility access, building security coordination, and property-related operational needs.

Preventive Maintenance & Repairs – 25%

Develop and manage preventive maintenance schedules for all building systems and equipment.
Coordinate routine service and emergency repairs to minimize operational disruptions.
Maintain maintenance logs, inspection records, and service documentation.
Monitor facility equipment performance and recommend repairs or replacements as needed.
Assist in planning and coordinating facility improvement projects and capital repairs.

Vendor & Contractor Management – 15%

Coordinate and supervise third-party vendors and contractors for landscaping, snow removal, janitorial services, pest control, plumbing, HVAC, and other property services.
Obtain quotes, schedule services, and monitor vendor performance.
Ensure contractors comply with company safety requirements and service expectations.
Manage vendor relationships and assist with service contract renewals.

Safety & Compliance – 5%

Ensure all facilities comply with applicable safety regulations, building codes, fire codes, and ADA requirements.
Assist in maintaining a safe working environment for employees and visitors.
Address facility-related safety concerns in a timely manner.

Budget & Administrative Support – 5%

Assist in managing facility maintenance budgets and controlling property-related expenses.
Track maintenance costs, vendor invoices, and facility expenditures.
Recommend cost-saving opportunities related to property operations and maintenance services.

Other Duties

Attend staff, departmental, and other required meetings and training.
Other duties as assigned.
