Office Operations & Transaction Coordinator

About the Role

The Office Manager / Listing & Transaction Coordinator plays a key role in supporting both the daily operations of Enclave and the success of our agents and clients. This position combines office management with transaction coordination, ensuring the office runs efficiently while providing seamless support throughout the real estate transaction process.

The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. They enjoy managing multiple priorities, delivering exceptional customer service, and creating organized systems that allow agents to focus on serving their clients.

What You'll Do

Office Operations

Maintain a professional, organized, and welcoming office environment while supporting the daily needs of office members, agents, and visitors.

Responsibilities

Manage the day-to-day operations of the office in an efficient and productive manner.
Maintain office equipment and coordinate repairs as needed.
Manage the Video Production Room and Conference Room schedules.
Oversee office key fobs and keys for all tenants and members.
Complete onboarding for new office members.
Greet visitors and create a welcoming office experience.
Answer incoming office and team phone calls.
Manage office lockbox inventory.
Distribute incoming mail daily.
Deposit earnest money and commission checks into ReZen.
Maintain office appearance and ensure supplies are stocked.
Assist with ordering food and coordinating office events.

Listing Coordination

Coordinate every stage of the listing process from pre-market preparation through closing while delivering an exceptional experience for agents and sellers.

Responsibilities

Partner with the marketing team to develop and execute listing marketing plans.
Communicate with sellers and coordinate appointments.
Write listing descriptions and advertising copy.
Manage listing transactions from listing agreement through closing.
Coordinate photography, videography, room measurements, and ShowingTime+.
Schedule staging, cleaning, and pre-inspection appointments.
Enter and manage listings in the MLS and ShowingTime.
Coordinate lockbox delivery and installation.
Order and schedule installation and removal of "For Sale" signs.
Manage listing paperwork and obtain required signatures.
Coordinate weekly open houses and related marketing.
Process price changes and update all online platforms.
Obtain HOA and condominium documents as needed.
Upload listing documents and ensure compliance with brokerage requirements.

Transaction Coordination

Manage transactions from contract to close by coordinating documentation, communication, compliance, and closing activities.

Responsibilities

Manage all buyer and seller transactions from contract through closing.
Maintain accurate transaction files and brokerage compliance.
Deliver an exceptional client experience throughout the transaction.
Coordinate with agents, lenders, title companies, and vendors to ensure deadlines are met.
Prepare and send Commission Disbursement Authorizations (CDAs) to the title company.
Coordinate closing logistics and key transfers.
Process daily transaction tasks.
Prepare, organize, and distribute all transaction documents and addendums.
Obtain signatures and distribute completed documents to all parties.
Manage buyer and seller files within Open to Close.
Schedule final walk-throughs and closing appointments.
Coordinate delivery of HOA and condominium documents to buyer agents.
Update MLS listing statuses throughout the transaction.
Update ShowingTime auto-approval settings as needed.
Coordinate installation of Sold signs.
Request and manage client reviews for Zillow, Google, and other approved platforms.
Update sold listings across applicable websites.
Upload Purchase Agreement documents and verify compliance.
Review commission splits and prepare CDAs with deposit links.
Deposit commission checks that cannot be wired into ReZen/Bolt.
Process file terminations and refund releases through ReZen/Bolt.
Work with Real's Accounting Department to resolve post-closing financial matters.

Administrative Support

Provide day-to-day administrative support while continuously improving office operations and the client experience.

Responsibilities

Answer incoming team phone calls within two rings.
Provide exceptional customer service to agents, clients, and office members.
Assist with administrative projects as assigned.
Identify opportunities to improve office systems and processes.
Support special projects and office events as needed.

What We're Looking For

Comfortable learning and using real estate technology and systems.
Experience in office administration, transaction coordination, or real estate operations preferred.
Experience with MLS, ShowingTime, Open to Close, ReZen/Bolt, Google Workspace, and Microsoft Office is a plus.

Office Hours

Monday – Friday 8:00 AM – 5:00 PM CST

Location

We are in the process of securing an exact office location in the city of Maple Grove in August 2026.

Salary

Hourly Position
Pay range $24-$28/hr
Primary location of work in Maple Grove, MN
