Full Job Description

Job Summary
We are seeking a dependable, detail-oriented, and friendly Front Desk Receptionist to join our healthcare team. This is a patient-facing role, and we are looking for someone personable, outgoing, able to multitask confidently, and a fast learner. If you thrive in a busy office environment and are comfortable handling payments and patient conversations, we’d love to hear from you.

In addition to front-desk responsibilities, this position will provide Cold Laser Therapy treatments to patients. The successful candidate will be trained to operate our Class IV MLS Laser Therapy equipment and will work directly with patients throughout their treatments. Duties include preparing patients, following established treatment protocols, operating the laser, monitoring patients, documenting treatments, and maintaining the treatment area. This is a great opportunity for someone who enjoys both administrative work and hands-on patient interaction. Paid training on-site is provided, and Laser appointments are made during your scheduled hours.

Pay & Hours

Starting Pay: $17.00 per hour (based on experience)
Hours: 28–32 hours per week
Location: In-office only (not remote)

Responsibilities

Greet and register patients with warmth, professionalism, and confidence
Manage patient scheduling and maintain accurate and up-to-date patient records in the electronic health record using the system, Eclipse
Verify insurance coverage and perform insurance verification procedures accurately
Check out patients, collect payments, and clearly explain charges and balances
Confidently discuss billing expectations and answer payment-related questions
Manage and update electronic patient records accurately
Answer phones, schedule appointments, and assist with patient inquiries
Assist with insurance billing, coding, and benefit verification (training provided)
Handle cash, balance deposits, and complete end-of-day duties
Maintain an organized, welcoming front office environment
Handle multi-line phone systems with professional phone etiquette to address patient inquiries and appointment requests
Perform clerical duties such as filing, data entry, and managing office correspondence
Ensure compliance with HIPAA regulations regarding patient privacy and health information management
Support clinic operations by coordinating front desk activities, including appointment confirmations and rescheduling
Assist in billing processes involving CPT coding, ICD-9/ICD-10 coding, and Medicare or other insurance claims processing
Maintain a clean and organized front desk area to promote a welcoming environment

Required Schedule Availability:

Monday: 8:30 am - 12 pm / 2:30 pm - 6 pm
Tuesday: 8:30 am - 12 pm / 2 pm - 5 pm
Wednesday: 10 am - 12:30 pm
Thursday: 9 am - 12 pm / 2 pm - 5 pm
Saturday: 9:00 AM–12:30 PM (Rotational)

Schedule includes a two-hour lunch between morning and afternoon clinic hours.

Positional Requirements

High School Diploma or equivalent
Comfortable using technology (data entry, word processing, basic Excel)
Comfortable & confident handling money and discussing billing/payment expectations with patients
Ability to multitask and stay organized in a fast-paced, patient-facing environment
Fast learner with a positive, professional attitude
Willingness and ability to work Saturday mornings

Experience in a healthcare setting or familiarity with medical terminology is a plus
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel) and office management software
Excellent customer service skills with the ability to handle multi-line phone systems professionally
Ability to review medical documentation accurately and ensure compliance with HIPAA standards
Strong organizational skills with attention to detail in documentation review and data entry tasks
Effective communication skills to coordinate between patients, providers, and insurance companies
