We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to our staff and clients. Responsibilities

Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Handle calendar management and scheduling for team members and executives using productivity software and Google Workspace tools
Perform data entry tasks with accuracy using spreadsheets, Word processing, and other Microsoft Office applications
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and records
Assist with office management tasks such as supply inventory, equipment maintenance, and general administrative support
Provide customer service support by responding promptly to client inquiries and facilitating effective communication
Support bookkeeping activities including basic bookkeeping tasks using QuickBooks or similar accounting software

A WI PUBLIC RECORDS BACKGROUND CHECK WILL BE PERFORMED FOR ALL APPLICANTS(STANDARD NEW HIRING PRACTICE)
IN ORDER TO PERFORM A WI PUBLIC RECORDS BACKGROUND CHECK A DRIVERS LICENSE MUST BE SUPPLIED
Must be able to type 60+ words per minute (WPM) or higher
Technologically savvy and comfortable using different computer systems and/or applications
Proven experience in office management or administrative roles with strong clerical skills. Any relatable fields will be important to include in resume.
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Exceptional communication skills, both verbal and written, including phone communication and client interaction
Bilingual abilities are highly desirable to assist diverse client needs
Experience with multi-line phone systems, data entry, proofreading, filing, and calendar management is preferred
Knowledge of medical or dental receptionist duties is a plus; personal assistant experience is also valued
Technical proficiency in office equipment such as printers, scanners, and fax machines is essential.
