Full Job Description

Position summary

The Administrative Coordinator at Marie Selby Botanical Gardens will coordinate and perform a diverse set of support tasks, focusing on a high level of customer service with both internal and external guests. This position is responsible for organizing and coordinating the administrative duties of the on-site office located at Marie Selby Botanical Gardens’ Downtown Campus – Plant Research Center.

Essential duties and responsibilities

Responsibilities include, but are not limited to the following:

● Greet internal and external guests and visitors with a pleasant, friendly demeanor

● Answer incoming phone calls and provide general information (or route to appropriate person)

with professionalism, ensuring proper phone etiquette is maintained at all times.

● Check-in any visitors or vendors using a set protocol

● Coordinate photography sessions by responding to inquiries, scheduling appointments on the Operations and Notices Calendar, and processing payments.

● Receive checks and maintain an accurate check log

● Effectively interact and communicate with members of Senior Leadership, employees, volunteers, and various external vendors as needed

● Mail and package routing to appropriate employees or departments

● Inventory and ordering of the Plant Research Center's office supplies and requested items for administrative offices

● Ordering and pick up of any catering orders as needed

● Procure gifts and handle special deliveries for the Office of the President & CEO, as needed

● Provide customer service/ticket sales for both Lights at Spooky Point and Lights in Bloom holiday light shows, as needed.

● Support the Executive Administrator to the President and CEO with other special projects as needed

● Other duties as assigned

Education and experience

● Minimum High School diploma or equivalent; Associate’s or Bachelor’s degree preferred or

● Prior administrative or clerical experience

Qualifications

● Must be comfortable with all day-to-day office operations

● Be detail oriented and work with a high degree of accuracy

● Be proficient with a variety of office software and equipment

● Demonstrated experience working in a fast-paced environment

● Commitment to the highest standards of service to internal and external guests

● Ability to recognize confidential information and handle appropriately

● A team player who is able to successfully and cheerfully take direction and complete tasks efficiently

● Reliable with excellent attendance history

● Highly organized and flexible

● Professional in presence and communication abilities

● Ability to provide prompt, accurate responses to inquiries

● Ability to work independently and to be self-motivated

● Ability to listen and communicate effectively with internal and external guests
