Full Job Description

About the Role

We are seeking an experienced Bookkeeping & Accounting Manager to join our growing construction services team in New Rochelle, NY. This position plays a critical role in supporting company ownership and operations by managing accounting functions, payroll, insurance administration, financial reporting, accounts payable, and a variety of administrative and compliance responsibilities.

The ideal candidate will have a strong background in bookkeeping and construction accounting, excellent organizational skills, and the ability to work effectively with management, field personnel, vendors, insurance carriers, and customers.

Key Responsibilities

Accounting & Financial Administration

Manage payroll processing and related reporting.
Oversee accounts payable and financial recordkeeping.
Track and maintain internal financial documentation.
Assist with preparation and submission of payment requisitions to General Contractors and Owners.
Support financial reporting activities and management requests.

Insurance & Compliance

Coordinate and assist with insurance audits.
Manage relationships with insurance providers for:
General Liability
Workers' Compensation
Commercial Auto
Equipment Coverage
Ensure insurance certificates and related documents are submitted as required.

Administrative Operations

Receive, sort, and distribute incoming mail.
Support permitting and licensing processes for construction projects.
Manage registrations and permits related to:
Company vehicles
Equipment
Health Department requirements
Solid Waste operations
Assist with proposal preparation and submission documentation.

Employee & Vendor Support

Administer reimbursable employee expenses, including fuel, tolls, and related costs.
Support HR-related administrative functions, including vacation tracking and employee documentation.
Maintain productive relationships with vendors, subcontractors, and field personnel.
Assist project teams with purchasing materials, fuel, rentals, and other operational needs.

Qualifications

Required

Minimum 5 years of accounting, bookkeeping, or construction accounting experience
Strong organizational and time-management skills
Excellent written and verbal communication skills
Ability to handle confidential information with professionalism
Ability to work independently while supporting multiple departments

Preferred

Bachelor’s degree in accounting or a related field
Experience in the construction industry
Familiarity with insurance administration and audit processes
Experience with payroll administration

Technical Skills

Proficiency with:

Microsoft Excel
Microsoft Word
Microsoft Outlook
Adobe Acrobat
Microsoft Office Suite

Ability to quickly learn company-specific software and systems.
