Full Job Description

Foster Display Group is seeking a highly organized, dependable, and people-oriented Office Operations Coordinator to support the daily administrative and employee-related functions of our Oceanside facility.
This individual will serve as the primary on-site partner to our Business Operations Manager, who is based in New Jersey, while working closely with our Chief Operating Officer and California operations leadership. The position supports payroll administration, employee onboarding, HR coordination, office management, recordkeeping, internal communication, and other day-to-day business needs.
The right candidate will be comfortable working in a fast-paced warehouse and fabrication environment, handling sensitive information, helping employees navigate routine workplace questions, and following issues through to resolution. This is a hands-on position for someone who enjoys creating organization, supporting people, and improving how a growing company operates.
Key Responsibilities
Payroll and Timekeeping

Review employee timecards for completeness and accuracy before payroll processing.
Follow up with employees and supervisors regarding missing punches, time-off requests, overtime documentation, and other discrepancies.
Coordinate payroll information with the Business Operations Manager and payroll provider.
Maintain accurate payroll, attendance, and paid-time-off records.
Assist employees with routine payroll and timekeeping questions.
Protect the confidentiality of payroll and compensation information.

Employee and HR Support

Serve as an approachable on-site resource for routine employee questions regarding company policies, payroll, benefits, time off, and workplace procedures.
Coordinate new-hire onboarding, including required paperwork, system access, orientation schedules, workspace preparation, and introductions.
Support offboarding activities, including documentation, return of company property, and coordination of final information.
Maintain accurate and confidential personnel records.
Receive and appropriately document employee concerns, gather factual information when requested, and promptly escalate matters to the Business Operations Manager or senior leadership.
Assist with benefits enrollment, workers’ compensation documentation, leave administration, and other employee programs in coordination with management and outside providers.
Help ensure required workplace notices, forms, acknowledgments, and employee records remain current.
Support employee communications, recognition programs, company meetings, and events.

Office and Facility Administration

Coordinate the day-to-day administrative needs of the Oceanside facility.
Maintain office supplies, breakroom supplies, equipment, uniforms, and other workplace materials.
Coordinate office-related vendors, service providers, maintenance requests, and deliveries.
Manage incoming mail, documents, and general administrative correspondence.
Maintain organized electronic and physical records using established file-management practices.
Help prepare reports, spreadsheets, presentations, forms, and internal communications.
Coordinate meetings, calendars, travel arrangements, and scheduling as needed.
Assist visitors, candidates, vendors, and employees with on-site administrative needs.

Operational Support

Provide administrative support to the Chief Operating Officer, Business Operations Manager, and California operations leadership.
Assist with internal operational projects, process documentation, and implementation of new procedures.
Track assigned action items and follow up with the appropriate employees to ensure completion.
Support safety meetings, training documentation, certifications, incident records, and other required operational paperwork.
Help coordinate company travel, employee lodging, fleet documentation, purchasing records, and expense reporting as assigned.
Identify administrative gaps or recurring problems and recommend practical improvements.
Perform additional administrative and operational duties as the company continues to grow.

Qualifications

Two or more years of experience in office management, HR administration, payroll coordination, business operations, or a similar support role.
Experience reviewing timecards or supporting payroll processes strongly preferred.
Experience supporting employee onboarding, personnel records, benefits, or other HR processes.
Strong organizational skills and careful attention to detail.
Excellent verbal and written communication skills.
Ability to manage multiple priorities and follow through without continual supervision.
Sound judgment and discretion when handling confidential or sensitive information.
Ability to remain professional and composed when addressing employee questions or workplace concerns.
Strong working knowledge of Microsoft Outlook, Excel, Word, and PowerPoint.
Experience with payroll, HRIS, timekeeping, or employee-management systems preferred.
Experience working in a warehouse, fabrication, manufacturing, construction, events, or similarly fast-paced environment is a plus.
Associate’s or bachelor’s degree preferred but not required when supported by relevant experience.

The successful candidate will:

Ensure payroll and timekeeping information is accurate and submitted on schedule.
Provide employees with a consistent and responsive on-site administrative resource.
Keep personnel, operational, and compliance-related records organized and current.
Identify issues early and communicate them to the appropriate leader.
Reduce administrative demands on the COO, Business Operations Manager, and operational supervisors.
Bring greater consistency, organization, and accountability to the Oceanside facility.
