About the CELL

The Counterterrorism Education Learning Lab, known as the CELL, is a nonpartisan nonprofit organization dedicated to advancing public safety through education. Through our exhibit, speaker series, and training programs, the CELL empowers individuals and communities to better understand, identify, and prevent security threats.

Purpose of the Role

The CELL is hiring a Database & Administrative Associate to support fundraising, programs, events, and day-to-day operations. This role serves as a key administrative and database resource, helping maintain accurate CRM records, process gifts and program bookings, prepare reports, and support the systems and workflows that keep the organization running efficiently.

The ideal candidate is highly organized, detail-oriented, service-minded, and comfortable working with data, technology, and people. This is a strong fit for someone who enjoys creating order from complexity, managing multiple priorities, and producing accurate work that helps colleagues and the organization succeed.

As organizational knowledge and proficiency develop, this position may have opportunities to assume additional executive support responsibilities.

Key Responsibilities

Database & CRM Management

Enter, update, and maintain constituent, donor, attendee, and partner records in the CRM
Process and record charitable gifts, pledges, sponsorships, and other fundraising transactions
Assist with donor acknowledgements and fundraising-related data entry
Import event registration, attendance, and engagement data
Perform regular data audits, CRM cleanup projects, and quality assurance checks
Generate reports, lists, and data exports that support fundraising, programs, events, and operations
Help ensure data accuracy, consistency, and compliance with organizational standards

Administrative & Operational Support

Assist with meeting preparation, including agendas, materials, technology needs, logistics, and follow-up documentation
Support internal administrative processes and workflows across departments
Maintain organized records, files, documentation, templates, and administrative resources
Support executive scheduling, calendar management, and administrative support as responsibilities grow

Program & Event Support

Assist with event registrations, attendee communications, and logistics
Support educational program reservations and group visit coordination
Coordinate materials, schedules, and administrative preparations
Help track attendance, participation, and program outcomes
Provide administrative follow-up for programs, trainings, meetings, and events

Reporting & Process Improvement

Prepare reports and summaries related to programs, events, outreach, fundraising, and operations
Identify opportunities to improve workflows, automate repetitive tasks, and increase efficiency
Support the use of technology, AI-powered tools, and process improvements that enhance organizational effectiveness

Success in the Role

A successful Database & Administrative Associate is a dependable, detail-oriented team member who helps ensure the CELL’s data is accurate, timely, and actionable. They provide exceptional administrative support, build trust through reliability and professionalism, embrace technology and AI-enabled tools to improve efficiency, and contribute to the successful execution of fundraising activities, programs, events, and day-to-day operations.

Required Qualifications

2+ years of administrative, operations, database, customer service, nonprofit, or related experience.
Experience maintaining records, generating reports, and ensuring data quality within a CRM or database environment.
Strong attention to detail and commitment to data accuracy.
Excellent organizational, time management, and follow-through skills.
Strong written and verbal communication skills.
Strong customer service orientation and a professional, solutions-focused approach to supporting internal and external stakeholders.
Ability to manage multiple priorities in a fast-paced environment.
Ability to handle confidential and sensitive information with professionalism.
Comfort learning and utilizing new technology platforms, digital tools, and software applications.
Ability to work independently and collaboratively.
Ability to work occasional evenings and weekends.

Preferred Qualifications

Salesforce experience.
Event or program coordination experience.
Experience generating reports and working with data.
Experience using AI-powered and emerging technology tools to support administrative tasks, data management, research, reporting, workflow efficiency, and organizational productivity.
Associate's or Bachelor's degree in Business Administration, Communications, Information Systems, Operations Management, Nonprofit Management, Event Management, or a related field.
