Job Summary
We are seeking an energetic and highly organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your proactive approach and excellent communication skills will ensure smooth office management and a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative expertise while supporting a dynamic team in a professional environment.

Duties

Greet visitors warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and managing incoming mail and deliveries
Utilize computer skills to perform data entry, maintain filing systems, and update records accurately using Microsoft Office and Google Workspace tools
Support office management tasks such as calendar management, organizing meetings, and coordinating appointments for staff or executives
Assist with clerical duties including proofreading documents, managing office supplies, and performing light bookkeeping with QuickBooks or similar software
Provide customer support by addressing inquiries promptly and professionally, ensuring a positive experience for all stakeholders

Skills

Proven experience in office administration or reception roles with strong organizational skills
Excellent communication skills in both verbal and written form; bilingual abilities are a plus
Proficiency with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications
Strong computer literacy with the ability to perform data entry, filing, proofreading, and basic bookkeeping tasks
Exceptional time management skills with the ability to prioritize tasks effectively in a fast-paced environment
Experience in medical or dental receptionist work is advantageous but not required; familiarity with medical or dental office procedures is a plus
Demonstrated customer service orientation with professional phone etiquette and interpersonal skills
