Full Job Description

Roofing Executive Assistant

We are a reputable, growing, family-owned, and operated roofing contractor in the upper peninsula, and we have experienced unprecedented growth as we continue to serve the area. Our reputation is built on quality, personalized service, and attention to detail. From initial consultation throughout the completion of projects, we are committed to providing the highest level of service, as client satisfaction is paramount.

Reporting to the president, the roofing executive assistant will be responsible for managing schedules, communication, project documentation and deadlines vendor relations, safety protocols, and all office administrative tasks.

Essential Responsibilities

Coordinating meetings, job site visits, and project milestones for executives. This includes managing overlapping priorities and ensuring executives are present for important negotiations or inspections.

Acting as the point of contact between executives, internal staff, clients, subcontractors, and suppliers. This involves drafting correspondence, distributing project updates, and relaying urgent messages promptly.

Preparing proposals, contracts, permits, and internal reports. Keeping organized digital or physical records of bids, invoices, and safety documentation is essential for compliance and efficiency.

Assisting with preliminary research, sourcing materials, coordinating with architects or engineers, and maintaining schedules for ongoing roofing projects.

Overseeing expense reports, processing invoices, managing budgets, and sometimes negotiating with suppliers to ensure cost-effective procurement of roofing materials.

Arranging transportation and accommodations for executives and project teams, especially when overseeing multiple job sites across regions.

Organizing project meetings, preparing agendas, taking minutes, and following up on action items with stakeholders.

Essential Qualifications

Minimum of 3 -5 years of experience as an executive assistant, preferably with a roofing or construction company.

Hands-on experience with QuickBooks Online accounting software (CoA, Classes, etc). preferred.

High attention to detail and accuracy

Proficiency in Google Suite, Microsoft Excel and other financial software.

A solid understanding of construction accounting principles.

Ability to manage multiple priorities and support office operations
