About PaveMasters

PaveMasters is a rapidly growing commercial asphalt paving and maintenance platform operating across five divisions in California and Arizona. Through a disciplined acquisition strategy, PaveMasters is building a family of companies serving commercial, municipal, education, and government clients throughout the Western United States.

As PaveMasters continues to grow, we are building the finance infrastructure needed to support a scalable, acquisition-driven organization. This includes creating standardized processes, strengthening internal controls, implementing modern technology, and developing best-in-class corporate finance functions that can successfully integrate future acquisitions.

Position Summary

The Corporate Accounts Payable Manager will lead the design, build-out, and ongoing evolution of the Accounts Payable and Disbursement function for the growing PaveMasters platform. Partnering closely with Accounting, Operations, and local teams, this leader will develop standardized processes, implement scalable technology, strengthen internal controls, and build a best-in-class payables function that supports the company's continued growth.

This is an ideal opportunity for someone who enjoys building rather than maintaining. Working closely with the VP of Accounting and Corporate Accounting Manager, this leader will help shape the future of finance operations by driving continuous improvement and creating an AP function designed to scale alongside the business.

Key Responsibilities

Process Improvement and Transformation

· Lead the continued evolution of the Accounts Payable and Disbursement function by developing scalable processes, standardized workflows, and consistent operating procedures across multiple divisions.

· Design and document end-to-end AP policies and procedures, including invoice intake, coding, approval workflows, payment processing, and exception management.

· Partner with Accounting, Operations, and local teams to implement process improvements that support business growth while maintaining strong vendor relationships and uninterrupted operations.

· Identify opportunities to streamline and automate AP processes through technology and workflow enhancements that improve efficiency, accuracy, and internal controls

Day-to-Day AP Operations

Oversee full-cycle accounts payable for the platform: invoice processing, coding and GL classification, approval workflows, vendor payments, and month-end AP close.

Manage AP within Sage Intacct, including vendor master data, bill entry, approval workflows, and integration with bill-pay and expense platforms.

Administer and optimize the corporate expense program and related AP applications (e.g., Ramp, Expensify, or comparable solutions), supporting ongoing system implementation, adoption, and process improvement.

Own the AP bill-pay platform relationship and workflow (e.g., ramp.com or equivalent), ensuring efficient, controlled disbursement of vendor payments across all divisions.

Manage vendor relationships and serve as an escalation point for payment inquiries, disputes, and discrepancies.

Ensure timely, accurate 1099 reporting and compliance with applicable vendor tax documentation (W-9 collection, TIN matching).

Controls, Reporting & Integration

Develop and maintain strong internal controls over disbursements, including segregation of duties, approval workflows, and fraud prevention practices.

Partner with the Corporate Accounting Manager on AP accrual accuracy, aging analysis, and cash disbursement forecasting to support treasury and cash management.

Develop and maintain AP KPIs and dashboards (days payable outstanding, invoice cycle time, exception rates, on-time payment rate) for leadership reporting.

Lead AP/payables integration for newly acquired divisions, including onboarding new entities into the centralized AP structure, vendor master conversion, and process alignment during and after close.

Support internal and external audit requests related to accounts payable, disbursements, and corporate card activity.

Identify opportunities for automation (e.g., OCR invoice capture, automated matching, payment file automation) to reduce manual touchpoints as the platform scales.

Team Leadership

Build, mentor, and develop a high-performing Accounts Payable team as the organization continues to grow.

Foster strong partnerships across Accounting, Operations, Procurement, and local business units to drive consistency, accountability, and continuous improvement.

Required Qualifications

Bachelor’s degree in Accounting, Finance, or related field (or equivalent professional experience).

5+ years of progressive accounts payable experience, including at least 2 years in a supervisory or management capacity.

Extensive, hands-on experience with Sage Intacct, including AP module configuration, workflows, and reporting.

Direct experience administering corporate credit card and expense management platforms (Ramp, Expensify, or comparable) and AP bill-pay applications (Bill.com or comparable).

Demonstrated success streamlining, standardizing, or converting AP processes to a paperless / automated environment.

Experience managing multi-location or multi-entity payables, ideally across a decentralized or recently-acquired footprint.

Experience operating in a scaling, acquisitive, or private equity-backed business, including integrating newly acquired locations into a corporate finance structure.

Strong understanding of AP internal controls, fraud-prevention practices, and segregation of duties, particularly relevant to wire and payment security.

Excellent vendor relationship management and cross-functional communication skills; comfortable working with field/branch personnel as well as corporate finance leadership.

Advanced Excel skills and comfort working with data across multiple systems and entities.

Preferred Qualifications

Experience in construction, paving, field services, or another multi-location trades/services industry.

Experience building a corporate/shared-services function from a decentralized starting point (“0 to 1” process design).

Prior involvement in ERP or AP-system implementations or migrations.

Familiarity with sales/use tax treatment on vendor invoices and lien waiver / retention tracking common to the construction industry.

Experience supporting M&A integration workstreams from the accounting/finance side.
