Accounting Specialist (Remote)

Job Type: Full-Time
Location: Remote, United States Only

Position Overview

We are seeking an experienced and detail-oriented Accounting Specialist to join our centralized back-office team.

Our back-office organization provides accounting, finance, payroll, administrative, and operational support to multiple affiliated businesses, locations, and legal entities.

This role will support the accounting needs of multiple companies rather than a single business. The ideal candidate is comfortable managing multiple sets of books, reconciling accounts across several entities, working with inter-company transactions, and maintaining accurate financial records in a growing multi-entity environment.

This is a fully remote, work-from-home position.

This position is not open to freelancers, independent contractors, staffing agencies, or outsourcing firms. Applicants must currently reside in the United States and be legally authorized to work in the United States. Applicants residing outside of the United States will not be considered.

Responsibilities

Maintain accounting records for multiple affiliated companies and operating entities.
Manage and maintain charts of accounts across multiple businesses.
Manage accounts payable and accounts receivable processes.
Ensure transactions are assigned to the correct entity, location, department, and general ledger account.
Perform bank, credit card, and balance sheet reconciliations.
Prepare and post journal entries, accruals, reclassifications, and adjustments.
Assist with intercompany transactions and reconciliations.
Perform month-end closing procedures across assigned entities.
Review profit and loss statements and balance sheets for discrepancies or unusual activity.
Assist with entity-level and consolidated financial reporting.
Prepare financial reports, schedules, and account analyses for management.
Assist with budgeting, forecasting, and variance analysis.
Assist with payroll preparation, review, and reconciliation.
Reconcile payroll liabilities and related accounts.
Review vendor invoices, payments, receipts, and supporting documentation.
Maintain organized digital accounting records.
Work with managers and administrative teams to resolve accounting discrepancies.
Assist with onboarding newly added entities or locations into accounting systems.
Help standardize accounting procedures across multiple businesses.
Support accounting system improvements, integrations, and special projects as needed.
Manage, maintain, and create charts of accounts, as required.
Support payroll functions, on an as-needed basis.

Qualifications

Previous professional experience in accounting, bookkeeping, finance, or a related role.
Strong understanding of accounts payable and accounts receivable.
Experience with general ledger accounting and journal entries.
Experience performing bank, credit card, and balance sheet reconciliations.
Experience with month-end close.
Understanding of GAAP and standard accounting principles.
Strong proficiency in Microsoft Excel and/or Google Sheets.
Experience with QuickBooks or similar accounting software.
Experience with financial platforms such as Ramp, Workday, Kronos, Ceridian, PeopleSoft, or similar systems is a plus.
Strong analytical and problem-solving skills.
Excellent attention to detail and accuracy.
Ability to independently investigate and resolve discrepancies.
Strong organizational and time-management skills.
Ability to manage recurring deadlines across multiple companies simultaneously.
Strong written and verbal communication skills.
Ability to appropriately handle confidential financial, payroll, and company information.
Self-starter and motivated individual.

Preferred Experience

Experience in any of the following is especially valuable:

Multi-entity accounting
Multi-location businesses
Shared-services or centralized back-office organizations
Intercompany accounting
Consolidated financial reporting
QuickBooks
Ramp
Payroll accounting and reconciliation
Franchise or multi-unit businesses
Education, retail, hospitality, healthcare, or other multi-location industries
Integrating newly acquired businesses or locations
Standardizing accounting processes across multiple entities

What We Are Looking For

We are looking for someone who does more than simply enter transactions.

The right candidate will take ownership of the accounting records they support, identify when something does not look correct, investigate discrepancies, and work toward resolving issues.

You should be comfortable asking questions such as:

Does this expense belong to the correct entity?
Does this account balance make sense?
Why is this reconciliation not balancing?
Is this an intercompany transaction?
Was this expense coded to the correct location?
Why did this account change significantly from the prior month?
Is there supporting documentation for this transaction?

Accuracy, accountability, organization, responsiveness, and good judgment are extremely important in this role.
