Job Overview
We're looking for an experienced accounting professional to serve as the Accounting Operations Coordinator for our growing organization.
The Accounting Operations Coordinator is responsible for the day-to-day execution and coordination of assigned accounting operations, including advanced accounts payable, accounts receivable, invoicing, collections, cash receipt processing, and financial transaction management. This position plays a critical role in ensuring financial transactions are processed accurately, efficiently, and in accordance with company policies while supporting the organization's overall financial health.
The Accounting Operations Coordinator serves as a key contributor to the Accounting department, helping ensure the accuracy and integrity of financial data, supporting continuous process improvement, and partnering across the organization to strengthen accounting operations and departmental performance. This is an excellent opportunity for someone who enjoys taking ownership of accounting processes, solving problems, improving workflows, and collaborating with teams across the company. While this position does not currently have direct reports, it provides technical leadership and mentoring within the Administrative and Accounting teams.
Key Responsibilities
- Accounts Payable Administration: Oversee the day-to-day accounts payable process, including vendor invoice processing, payment requests, coding, approvals, vendor communications, and maintaining accurate vendor records and supporting documentation.
- Accounts Receivable & Billing: Generate and distribute invoices, process daily cash receipts, apply customer payments, manage collections activities, respond to client billing inquiries, and resolve invoicing discrepancies to support timely cash flow.
- Cash Receipts & Financial Transactions: Review banking activity, record deposits, reconcile transactions across accounting systems, and maintain the accuracy and integrity of financial records.
- Accounting Operations: Maintain accurate accounting data across multiple financial systems, prepare operational and financial reports, and ensure accounting information is complete, organized, and processed in accordance with company policies.
- Technical Leadership & Process Improvement: Serve as the primary resource for accounting procedures, systems, and best practices. Partner with leadership to improve accounting workflows, strengthen internal controls, mentor team members, and support ongoing operational improvements.
- Cross-Functional Collaboration: Work closely with departments throughout the organization to resolve accounting questions, coordinate financial processes, and ensure timely, accurate financial information.
Required Qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
- Minimum of four years of progressively responsible accounting or bookkeeping experience.
- Experience supporting accounts payable, accounts receivable, invoicing, collections, banking activities, and financial reporting.
- Strong understanding of Generally Accepted Accounting Principles (GAAP) and accounting best practices.
- Excellent organizational skills with the ability to prioritize competing deadlines while maintaining exceptional accuracy.
- Strong verbal and written communication skills.
- Demonstrated customer service and relationship management skills.
- Experience using accounting software, Google Workspace, and Mac operating systems.
- Ability to maintain confidentiality and exercise sound judgment.
- Valid driver's license.
Preferred Qualifications:
- Professional services environment.
- Experience with QuickBooks Online, Syncore, BILL, Expensify, or similar accounting software.
- Experience mentoring coworkers or leading accounting process improvements.
- Multilingual abilities are a plus.
