Position Summary

The Administrative Assistant supports Vintage Corporation's property management portfolio by maintaining accurate records, assisting with compliance, and reporting, and providing front-office support to residential and HOA teams. This role is highly detail-oriented and works across multiple properties to ensure files, notices, and reporting are accurate, timely, and organized.

Shows up to work on time consistently and demonstrates strong time management, particularly around recurring monthly and annual deadlines.

Listens and responds with patience and professionalism when assisting tenants, owners, and vendors at the front office or by phone.

Organization & Attention to Detail

Maintains accurate, well-organized files and records; catches discrepancies (such as billing or compliance issues) before they become problems.

Technical Knowledge

Working knowledge of Microsoft Office Suite, email, and standard office equipment; comfortable learning property management.

Initiative

Self-motivated with a desire to learn, willing to go above and beyond, and able to work well with minimal supervision.

Key Responsibilities

Maintain and organize all filing, including HOA/residential paperwork (daily), PFC files, and archived tenant files and invoices retrieved from storage as needed.

Provide leasing support; complete property tours, accept and process rental applications, complete lease signings when the Residential Manager is not available.

Prepare and label folders as requested, upload documents as needed.

Complete year-end boxing and set up new files annually.

Update the Do Not Rent (DNR) list as received from PFC and property managers.

Check applications and leases for accuracy.

Write Residential/HOA violation letters and follow up on compliance.

Serve failure-to-comply notices as needed.

Copy monthly income statements: mail, scan, and email to owners; file all residential income statements.

Prepare disbursement copies for mailing as needed.

Maintain and update the insurance list (daily or weekly).

Assist the residential front office with phones, walk-ins, and payments.

Submit maintenance work orders as needed.

Perform additional duties as assigned.

Physical Requirements

Ability to sit or stand for extended periods in an office setting.

Ability to lift and carry files or boxes (e.g., year-end archiving), up to 25 lbs.

Ability to operate standard office equipment (computer, phone, printer, copier).

Ability to work in a fast-paced office environment and manage high phone volume.

Ability to walk the property on a regular basis, including stairs and hallways.

Ability to walk, stand, sit, stoop, kneel, and climb stairs.

Ability to work indoors and outdoors under varying weather conditions based on business need.

Frequent use of hands and fingers for typing, handling objects, tools, or controls; reaching with hands and arms.

Specific vision abilities required by this position include close vision, distance vision, peripheral vision, and the ability to adjust focus.

Ability to work in an environment that is typically moderate/high noise level.

Ability to work on short notice based on business need.

Reasonable accommodation will be made for qualified individuals with disabilities in accordance with applicable law.

Qualifications

Prior administrative or office support experience preferred; property management experience is a plus.

Strong organizational skills and high attention to detail.

Proficiency with Microsoft Office Suite and general office equipment.

Ability to manage multiple recurring deadlines (daily, weekly, monthly, and annual tasks) simultaneously.

Valid driver's license required.

Reliable transportation with sufficient automobile insurance required.

Proficiency in both verbal and written English communication.
