POSITION SUMMARY:

The Assistant Site Director for Community Schools is responsible for planning, implementing, and managing afterschool and summer camp programs; directly engaging with youth and families and collaborating with school staff and administrators; overseeing and coaching program staff, including scheduling and timesheet oversight; and leading curriculum planning through regular meetings with lead instructors to review and improve program quality. The role also provides cross-site support as needed and serves as acting site lead in the absence of the Site Director.

ESSENTIAL JOB FUNCTIONS AND DUTIES:

Plan, design, organize, implement, and manage developmentally appropriate social, recreational, educational, and enrichment programming for afterschool and summer camp in collaboration with school leadership and Youth Center Directors as appropriate.
Ensure a safe, supportive, high-quality out-of-school time program that follows best practices, addresses the needs and interests of each child, fosters positive self-image and respect for social, racial, and cultural differences, builds positive and supportive relationships with and between youth and staff, and adheres to Massachusetts summer camp licensing regulations.
Assist the Site Director with recruiting, hiring, onboarding, scheduling, and training afterschool and summer program staff; support part-time staff in developing age-appropriate curriculum and supervise them with ongoing feedback and support; coordinate and process hiring and onboarding paperwork in collaboration with Human Resources; facilitate regular staff meetings; supervise full-time teachers and oversee all curriculum development, including setting deadlines, holding regular curriculum check-in meetings, and creating tools for staff and student feedback on courses, vendors, events, and field trips; and, when staff are shared across programs, collaborate with site leadership to align supervision and assist in implementing and ensuring adherence to DHSP and site policies and procedures.
In the absence of the Community School Director, manage afterschool programming and the full-day summer camp; assist the Site Director with program registration; lead outreach to attract and enroll participants and families; and coordinate with the DHSP Lottery Team on enrollment.
Maintain accurate, timely records in accordance with departmental standards, including staff and participant attendance, class listings, finances, incident and accident reports, quarterly reports, and fiscal data; document daily program activities in collaboration with staff, youth, and families; participate in internal and external program evaluations; prepare regular fiscal reports and track program spending against approved budgets; and report all significant incidents and accidents to the Site Director, completing all required paperwork promptly.
Plan and execute field trips and large-scale program events, including coordinating logistics, managing budgets, and communicating with families and vendors.
Communicate with families daily and through regular email and newsletter communications regarding student progress, behavior, and program updates.
Participate in the Agenda for Children Quality Initiative and attend monthly Community of Practice meetings; work collaboratively with the Agenda for Children Initiative to develop best practices and improve program quality through delivering regular trainings for staff; support the planning and delivery of regular staff trainings to improve program quality; plan and implement community-related activities as assigned; support outreach and communication with the school principal and staff, neighborhood organizations, community partners, service providers, and families to ensure access to programs for children.
Participate in the Inclusion Initiative; maintain ongoing communication with the Community School Director and inclusion support staff on students' needs and progress; collaborate to develop and implement inclusive practices; and coordinate with families and other service providers to support individual children.
Maintain designated Community School space, program equipment, and supplies; maintain and order supplies and materials, including shopping at local markets to support daily program needs, and manage receipts and record and report expenditures to the Site Director; ensure a safe, supportive environment; assist with building supervision and security; and coordinate with external user groups to support activity programming, including outreach, scheduling, communication, and adherence to program goals, safety protocols, and space-use procedures.
Support city-level administrative operations, including tuition billing and school-year and summer camp enrollment processes; coordinate scheduling and recordkeeping for routine maintenance, inspections, and repairs for program vans in collaboration with the Gately Youth Center, Fitzgerald Community School, and City fleet or vendors, to ensure vehicles are safe, compliant, and available for program needs.
Participate in ongoing professional development training to enhance program practices and quality.
Engage in and support the Department's Race and Equity Initiative.
Perform other related duties as required.

QUALIFICATIONS:

Education/Experience

Education/Experience
Bachelor's degree in education, youth development, social work, recreation, human services, or a related field; or at least three (3) years of experience in youth development or afterschool program coordination and supervision.
Demonstrated experience managing budgets.
Experience with inclusive programming for children with special needs strongly desired; experience working with urban youth and serving children from diverse cultural and economic backgrounds strongly desired.
An equivalent combination of education, training, and experience may be considered.

Knowledge, Skills, and Abilities:

Knowledge of basic computer programs including Excel and Word.
Knowledge of positive youth development principles, behavior guidance strategies, and risk management practices, and ability to ensure compliance with applicable out-of-school time and summer camp regulations
Excellent organizational and administrative skills, strong curriculum design and delivery capabilities, exceptional attention to detail, the ability to manage and follow through on multiple projects, and excellent oral and written communication skills.
Ability to work and interact effectively with individuals and groups across diverse identities, cultures, backgrounds, and ideologies.

SUPERVISION RECEIVED:

Works under the general supervision of a Site Director, Community Schools, receiving direction on program operations and goals, with work reviewed through regular conferences, program evaluations, and observation of results.

SUPERVISION EXERCISED:

Provides direct supervision to part-time and seasonal program staff, including activity leaders and instructors; provides day-to-day oversight of volunteers and interns assigned to the program.

WORK ENVIRONMENT:

Work is performed primarily at DHSP's main site and the Community School Program site, with regular travel between sites; programming occurs on multiple levels within the school building. Evening and weekend hours may be required.

PHYSICAL DEMANDS:

Work involves significant periods of sitting, standing, and walking, with frequent engagement with children at floor level. The role occasionally requires transporting materials weighing up to 50 pounds between sites.
