Full Job Description

We are seeking a dynamic and skilled Building Superintendent to oversee the daily operations, maintenance, and safety of our facilities. The Building Superintendent will be responsible for the care and upkeep of the building and premise known as 186 Tremont Street, Boston, MA 02111, the Grand Lodge of Masons in Massachusetts. The responsibilities for overseeing and directing all third-party vendors, security staff, and maintenance & cleaning staff, as well as organizing building usage by scheduling and coordinating recuring and nonrecurring activities in the building. In addition, hands-on job tasks within building maintenance disciplines are necessary for repairs and replacements where various tasks require a skilled touch. The Building Superintendent will report directly to the Business Manager.

Job Specific Responsibilities

o Manage facilities staff to deliver quality maintenance, cleaning, and security operational services. This is full oversight of the Maintenance and Security Departments.

o Set work hours and work routines for each Department.

o Directs the execution of maintenance, upkeep, refurbishment and improvement of physical assets, and security of the building.

o Maintain and improve the physical assets including furnishings, fixtures, equipment and building.

Ensure that all mechanical, electrical, plumbing, HVAC, fire alarm, fire protection systems, generators, security equipment and other life safety systems operate according to their requirements and are properly maintained.

o Responsible for identifying and scheduling preventative needs of the building’s facilities.

o Ongoing record keeping of all building maintenance, replacements, repairs, and renovations, and inventory.

o Oversee all building systems and maintenance operations, including HVAC, plumbing, electrical, fire protection, and carpentry

o Conduct as appropriate daily/weekly/monthly/annual inspections of the building and provide data to the Business Manager.

o Lead facility planning, renovation, and construction projects, ensuring compliance with budget, schedule, and regulatory standards

o Supervise custodial, grounds, transportation, and security operations to maintain a safe, clean, and efficient environment

o Develop and implement preventive maintenance and energy management programs

o Maintain compliance with OSHA, Joint Commission, Life Safety Code, and other applicable regulations

o Execute a system of work practices for recurring work that maximizes the use of the resources provided.

o Manage facility budgets, procurement, inventory, and vendor relationships

o Manage and direct contracted service providers associated with facility maintenance and operations.

o Develop policies and procedures for the use of supplies.

o Ensure all maintenance and standard operating procedures are successfully executed according to scheduled times throughout a calendar year.

o Responsible for leading and executing special projects deemed as such by the Business Manager and CEO.

o Other duties as assigned

o This position is designated as critical and essential and is required to report to the building during emergencies to support continuity of operations.

Employee Coordination

o Act as primary contact person for all department employees, foremen, leads, and trades.

o Monitor, review, and approve timecards and time off for assigned employees, and report the same to the Business Manager.

o Combine these processes with the Business Manager: Interview, hire, coach, train, and develop facilities staff while fostering teamwork, accountability, and professional growth

o Write annual performance evaluations of assigned employees

o Handles discipline of supervised employees with the Business Manager which may include termination of employees in accordance with company policies.

o Member of the on-call facilities team to respond to after hour/weekend/holiday needs.

o Other duties as assigned.

Competencies

o Knowledge and experience in building design, and building construction technology including materials, methods, and techniques.

o Experience in building maintenance, skilled trades, or comparable experience

o Ability to solve problems and multi-task

o Excellent verbal and written communication skills

o Ability to use computer based software including email, computerized maintenance systems, smart phone/mobile devices, and MS Office.

o Ability to work independently and handle multiple priorities and deadlines simultaneously.

Travel Requirements

o Limited travel for supply acquisition, and to offsite venues for particular organization activities.

Requirements/Qualifications

o High School Diploma or GED Required; Bachelor's Degree Preferred.

o 3-5 years of experience as a Facilities/Maintenance Manager or equivalent role (Preferably high-rise buildings).

o 3-5 years of experience in managing or supervising staff members

o Preferred certifications (not required), HVAC, OSHA, other relevant certifications and training.

o Technologically proficient with good computer skills (Outlook, Microsoft office and building maintenance software).

o Professional communication skills (phone, interpersonal, written and verbal).

o Knowledge and understanding of all MEP equipment and systems.

o Knowledge of and ability to perform basic repairs for all building components and systems.

o Strong customer service with self motivation

o Ability to trouble shoot and resolve problems.

o Ability to multi-task and institute effective time management.

o Must pass a Criminal Background Investigation

o Must possess a valid Massachusetts Driver’s License

Physical Requirements (with or without accommodation)

o Must be able to climb, balance, stoop, kneel, crouch, crawl, reach, stand, walk, push, pull, lift, finger, grasp, feel, talk, hear, and be capable of repetitive motion

o Position requires exerting up to 100 pounds of force occasionally, and/or up to 50 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects

o Work requires close visual acuity; visual acuity to perform mechanical or skilled trade tasks of a non-repetitive nature; visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned or to make general observations of facilities or structures

o Position requires exposure to outside environmental condition.

Compensation

o The recruiting range for this position is $85,000 - $105,000, commensurate with experience.
