Working closely with the cruise line sector, we've developed and maintained innovative Shore Power Systems that help reduce local emissions when cruise ships are docked. We specialize in providing, operating, and maintaining patented shore power solutions across North America.

Our mission is simple: Powering a cleaner future for maritime operations. We accomplish this through the operation of 11 patented shore power systems, backed by a proprietary database that streamlines ship call organization and provides detailed reports to track emission reductions.

About the Position:

As a member of our team, the  Project Administrative Assistant will provide administrative and coordination support to ensure Watts Marine projects are completed on time. This role assists with scheduling, documentation, communication, and tracking progress, while supporting project managers and team members with day-to-day tasks. The Project Administrative Assistant helps maintain organized records, prepares reports, and ensures smooth project operations by coordinating meetings, managing information flow, and addressing routine inquiries.

What You’ll Do:

Assist Project Managers with tracking project tasks, scheduling, change orders, ordering, requesting PO’s, daily reports, and labor reconciliation
Completes reconciliation of monthly project billings, change orders and ensures projects are billed in a timely manner
Coordinates the receipt, recording, shipment and tracking of all materials and equipment to ensure timely delivery to their destination
Coordinate shipping of receivables and ensure accurate documentation for all outgoing shipments
Serve as the main point of contact for logistics coordination between internal teams and external customers or vendors
Collaborate closely with accounting to ensure accurate tracking, reconciliation of shipments, and assist with Accounts Receivable
Create and maintain business processes, procedures, and the company’s administrative manual
Responsible for drafting and responding to emails and formal correspondence with customers, vendors, prospective clients, and relevant third parties
Maintain job folders, ensuring they are kept current and up to date
Prepare and format proposals using company templates, based on guidance from Project Managers
Assist in the preparation of contracts as needed, using standardized company templates
Manage project mailings and other office duties as necessary
Assist in tracking new leads, support proposal creation, and manage related correspondence
Assist with built drawing updates
Assist in marketing efforts with company website maintenance and other marketing support as needed
Manage and create file structure and templates as needed
Respond promptly and professionally to communications and requests from the department, team, and customers
Demonstrate a team-oriented approach in all communications on projects, and with co-workers and customers
Assist with HR programs as needed
Manage office ordering supplies and answering phones
Collaborate with internal employees to assist in the development of processes and procedures

What You’ll Need:

Associate degree or equivalent 2-year college or technical school, preferred
3+ years Office Management, preferred
3+ years experience as a project assistant or administrative assistant -AEC industry preferred
Strong skills with Microsoft Office Suite, Excel, database entry, and project task programs
Experience with Smartsheet, Power Automate, Power BI and/or project management software - preferred
Strong Microsoft Office skills, particularly in Word and Excel, with the ability to create, edit, and manage documents and spreadsheets - required
Working Knowledge of architectural, engineering and/or construction management and the industry’s best practices for tracking a project, (AEC industry standards)
Demonstrated flexibility in adapting to changing workloads and service demands, with a willingness to contribute whenever needed
Demonstrated responsiveness to the needs of the department, team members, and customers, ensuring timely and effective communication
Ability to apply a team-oriented approach in collaboration with colleagues, customers
Ability to learn and implement new software quickly
Strong verbal and written communication skills, with the ability to respond quickly and professionally
Exhibits a high level of professionalism in all interactions, maintaining accountability, and a positive attitude in a fast-paced work environment
