Full Job Description

This is an 8.0 hours per day, 260 days per year, Office Coordinator - Custodial and Facility Use position with benefits at the District Support Service Center (DSSC). Anticipated start date is August 24, 2026.

Hours for this position are 6:00 a.m. - 2:30 p.m. Hours may vary depending on the athletic season and then-current district needs. Typical starting time will be between 5:00 a.m. and 7:00 a.m.

The successful candidate will provide general secretarial, clerical, and office coordination duties.

Minimum Qualifications: Typical for Administrative Assistant or Office Coordinator.

Preferred Qualifications: Demonstrated ability to understand software workflows, transfer data from one application to another, and generate reports using Excel.

Hourly salary ranges listed are 2025-26 rates.

JOB TITLE: Office Coordinator, Custodial/Facilities

CLASSIFICATION: Office/Accounting – MACP

REPORTS TO: Director of Facilities

POSITION SUMMARY:

Responsible for providing a variety of clerical and other support services to assist the Custodial Supervisor and the Director of Facilities with the operations of the Custodial Department and related services such as scheduling of community facility use. This position also provides backup administrative assistant support for the Maintenance Department and serves as liaison between staff and the general public by responding to general questions and, when necessary, referring them to appropriate staff and service providers.

PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:

Provide administrative support services to the Custodial Supervisors and Director of Facilities including letter composition, scheduling of appointments, analysis of information, maintenance of databases, preparation of confidential evaluations, and preparation of district reports and presentation materials.
Develop and maintain an organized office including record management, an effective filing system, and provide for record maintenance and retention management in compliance with District policy and state guidelines.
Serve as liaison between staff, parents, and the general public wishing to communicate with District support staff.
Greet public; answer phones; respond to inquiries from students, parents, staff and general public; assist with student and staff needs.
Monitor daily custodial absences and contact substitutes to ensure coverage. Maintain, track, and update custodial leave calendars.
Schedule and coordinate support for district facility usage, activities, and events by district staff, outside agencies, community organizations and athletic teams, and vendors.
Coordinate the District’s emergency callout list and update quarterly, track after hours callouts, and update overtime in Kronos timekeeping system.
Create facility use invoices using web-based software, receive billing sheets from staff and verify hours in Kronos timekeeping system; forward to the Business Office.
Maintain database of Sonitrol security codes for all district sites. Track and audit assignment of codes to staff; assign codes as requested and cancel codes as needed.
Track and monitor the Kronos electronic timekeeping system for Custodial and Maintenance employees. Provide reports to supervisors and Payroll to ensure employee pay records are accurate; problem solve with Payroll and Human Resources to make updates and corrections when necessary.
Process department mail; prepare accident reports.
Assist with receiving equipment shipments, UPS deliveries, and US Mail.
Monitor and assist with the oversight of various operating budgets and maintain legal compliance using the District’s electronic fiscal records system
Prioritize and organize tasks for the purpose of meeting deadlines, accessibility of information, and completing tasks in a timely manner.
Serve as backup to the Office Coordinator for the Maintenance/Grounds Department, and provide guidance and support for short-term substitutes working in the office.
Comply with District Policies.
Maintain acceptable job attendance.
Perform related duties as assigned.

EDUCATION AND EXPERIENCE:

High school diploma or its equivalent.
Word process with accuracy at 40 w.p.m.
Five (5) years of applicable office or clerical experience, including office management (preferably in a public-school setting.) Vocational or technical clerical training may substitute for work experience.

PREFERRED EDUCATION AND EXPERIENCE:

College degree and/or additional training beyond high school.
Previous school district experience.
Two-year degree or college level work in Business, Accounting, or related field.
Experience with computerized financial and/or purchasing systems.
