Job Overview
We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! In this vital role, you will be in charge of daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will help create a welcoming environment for clients, visitors, and team members alike. Responsibilities

Greet visitors and manage front desk operations with a friendly, professional demeanor
Answer multi-line phone systems promptly and direct calls accurately using proper phone etiquette
Handle data entry, filing, and document proofreading to maintain organized records
Manage calendar scheduling, appointment setting, and calendar management for staff members
Support bookkeeping tasks using Invoices to go or similar accounting software to assist with invoicing and expense tracking
Assist with office management duties including supply ordering, inventory control, and maintaining office equipment
Provide exceptional customer service by addressing inquiries via phone or email and supporting client needs
Coordinate meetings, prepare agendas, and ensure all logistical details are handled efficiently

Qualifications

Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
Excellent computer literacy including data entry, typing speed, and familiarity with office management software such as QuickBooks
Strong phone etiquette skills with experience managing multi-line phone systems
Previous experience as a receptionist or medical/dental receptionist is advantageous
Exceptional attention to detail for proofreading documents and maintaining accurate records
Ability to prioritize tasks efficiently using time management techniques in a fast-paced environment
