Job Summary

Job Summary: The Facilities Program Support Coordinator serves as the administrative system owner and workflow controller for Facilities operations, fleet assets, and surplus property. The incumbent is responsible for CMMS administration, fleet asset system administration, surplus tracking and disposition documentation, reporting, and audit readiness. The position establishes system discipline, documentation integrity, and program visibility in support of defensible and compliant Facilities operations. The role supports execution but does not direct or perform operational work.

Adhere to the TCC Ch’eghwtsen’ model of service and guiding principle which requires providing timely and effective service along with the ability to interact with others in a way that inspires trust and demonstrates respect, compassion, and empathy.

Essential Functions

Essential Functions: This list is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and tasks performed by incumbent(s).

Representative Duties: Under general supervision of the Director of Facilities, the job incumbent will:

1. Serve as the system administrator and gatekeeper for the Facilities CMMS, ensuring all work is entered, tracked, and closed in accordance with established procedures.

2. Administer fleet asset management software and maintain accurate records for vehicles, equipment, inspections, and maintenance history.

3. Provide end-user support to ensure work requests and fleet-related requests are submitted accurately and completely.

4. Create, route, and track work orders while coordinating administratively with Operations teams without directing execution.

5. Maintain surplus inventory records and coordinate surplus disposition workflow documentation with Facilities Operations, Finance, and Risk.

6. Produce recurring reports and dashboards for Facilities leadership related to backlog, fleet status, and surplus inventory.

7. Ensure documentation completeness and attachment integrity for work orders, inspections, and surplus actions.

8. Support internal, external, regulatory, and funding audits through accurate recordkeeping.

9. Maintain confidentiality of sensitive Facilities, asset, and program data.

1. Perform other job-related duties as assigned.

Minimum Qualifications

Minimum Qualifications:

1. High school diploma or GED.

2. Experience with CMMS, fleet systems, asset tracking, or administrative program support.

3. Strong computer skills including Windows-based systems, reporting tools, spreadsheets, and word processing.

4. Ability to help build and enforce process standards without supervisory authority.

5. Must pass background check pursuant to federal Indian Child Protection and Family Violence Prevention Act requirements and State of Alaska background check.

Knowledge, Skills & Abilities:

1. Strong understanding of systems-based workflow and administrative controls.

2. High attention to detail and documentation accuracy.

3. Ability to coordinate across departments without directing execution.

4. Ability to work independently and in a team environment.

5. Ability to follow verbal and written instructions with minimal supervision.

Supervision: This position has no supervisory responsibilities.

Supervision

Physical Demands: Work is primarily office-based with extended periods of computer use. Occasional movement between office, yard, or storage areas may be required. No significant physical exertion is required beyond standard office activities.

Summation: The Facilities Program Support Coordinator is a critical control role supporting documentation integrity, compliance, and operational visibility. Strict adherence to defined role boundaries is required to maintain the Facilities Operating Model.
