Full Job Description

Position Summary

The Office Manager / Surgery Scheduler is responsible for overseeing the daily administrative operations of a busy orthopedic clinic while coordinating all aspects of surgical scheduling. This position requires a highly organized, dependable, and professional individual who can effectively manage competing priorities, communicate with patients and medical staff, and ensure that clinic and surgical operations run efficiently.

The ideal candidate will have strong knowledge of medical office operations, excellent communication skills, attention to detail, and the ability to work independently in a fast-paced environment.

Essential Duties and Responsibilities

Office Management

Oversee the day-to-day administrative operations of the orthopedic clinic.
Ensure the office runs efficiently and maintains a professional, patient-focused environment.
Coordinate staff schedules, workflow, and daily assignments.
Assist with training, onboarding, and ongoing support of office staff.
Monitor office supplies, equipment, and other administrative needs.
Address patient concerns and assist with resolving office-related issues.
Maintain compliance with office policies, procedures, HIPAA, and applicable healthcare regulations.
Work closely with physicians and staff to identify and improve office processes.
Assist with accounts receivable, insurance issues, authorizations, and other administrative functions as needed.
Maintain effective communication between the front office, clinical staff, physicians, hospitals, surgery centers, and outside facilities.

Surgery Scheduling

Coordinate and schedule surgical procedures for orthopedic physicians.
Communicate with patients regarding surgical dates, preoperative requirements, instructions, and expectations.
Coordinate surgical scheduling with hospitals, ambulatory surgery centers, anesthesia providers, surgical representatives, and other necessary departments.
Obtain and coordinate required insurance authorizations, referrals, medical clearances, and preoperative testing.
Verify insurance benefits and communicate financial responsibilities to patients when appropriate.
Ensure all required documentation, imaging, medical records, and surgical paperwork are complete prior to surgery.
Maintain accurate surgical schedules and communicate schedule changes promptly.
Coordinate postoperative appointments and follow-up care.
Monitor surgery cancellations, rescheduling, and add-on procedures.
Serve as a primary point of contact for patients throughout the surgical scheduling process.

Patient Communication

Provide professional, compassionate, and timely communication with patients and families.
Answer patient questions regarding scheduling, surgery preparation, insurance requirements, and office procedures.
Return telephone calls and messages promptly.
Maintain patient confidentiality and handle sensitive information appropriately.
Provide excellent customer service while maintaining appropriate office policies and boundaries.

Qualifications

High school diploma or equivalent required; college or medical office management education preferred.
Previous experience in a medical office, preferably an orthopedic or surgical practice.
Previous surgery scheduling experience strongly preferred.
Knowledge of medical terminology and orthopedic procedures preferred.
Experience with insurance verification, prior authorizations, referrals, and medical records.
Strong computer skills and ability to learn and utilize electronic medical records and scheduling systems.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Ability to multitask and prioritize in a high-volume environment.
Ability to work independently while also functioning effectively as part of a team.
Professional, dependable, detail-oriented, and able to maintain confidentiality.

Preferred Experience

2+ years of medical office experience.
1+ year of surgical scheduling experience.
Experience working directly with orthopedic surgeons, hospitals, or ambulatory surgery centers.
Experience with insurance authorization and surgical clearance processes.
Experience supervising or coordinating medical office staff.

Physical and Work Environment

This is a fast-paced medical office position requiring frequent computer and telephone use, interaction with patients and staff, and the ability to manage multiple tasks throughout the day. The position may require prolonged periods of sitting, standing, walking, and occasional lifting of office supplies or materials.

Position Expectations

The successful candidate will be expected to take ownership of the daily operations of the office and surgical scheduling process, communicate effectively with physicians and staff, and ensure patients receive accurate and timely information. This individual should be comfortable working in a high-volume environment where priorities can change quickly and should be willing to step in and assist wherever needed to keep the practice running smoothly.
