About Us

Capital Women’s Care is a leading OB/GYN network serving the Greater Washington, DC, Northern Virginia, and Maryland region. Our GYN Oncology division, MAGOPSA, provides compassionate and comprehensive care to women facing gynecologic cancers.

We are seeking an experienced, highly organized, and dependable Front Desk Receptionist who thrives in a busy, fast-paced medical office environment. The ideal candidate will have strong customer service and communication skills, excellent attention to detail, and the ability to manage multiple priorities while maintaining a professional and welcoming environment for our patients.

This position requires reliable transportation and the flexibility to travel between multiple practice locations based on operational and staffing needs.

Position Overview

The Front Desk Receptionist plays a critical role in the daily operations of our practice and is often the first and last point of contact for our patients. This position is responsible for managing a high-volume front desk, including patient check-in and check-out, appointment scheduling, telephone communication, insurance verification, collection of payments, medical records coordination, and other administrative responsibilities.

We are looking for someone who can work independently, anticipate needs, prioritize effectively, and remain calm and professional during high-volume periods. The successful candidate must be comfortable adapting quickly to changing priorities, provider schedules, and staffing needs.

Key Responsibilities

Provide a warm, professional, and compassionate experience for patients and visitors.
Efficiently manage high-volume patient check-in and check-out while maintaining accuracy and attention to detail.
Verify patient demographics, insurance information, eligibility, referrals, and other required documentation.
Collect copays, deductibles, outstanding balances, and other patient payments accurately.
Schedule, confirm, reschedule, and coordinate patient appointments according to provider and practice guidelines.
Manage complex provider schedules and identify scheduling conflicts or issues requiring attention.
Answer and manage a high volume of incoming telephone calls professionally and efficiently.
Route patient messages and requests to the appropriate clinical or administrative team member.
Obtain medical records, referrals, authorizations, and other documentation needed for upcoming appointments.
Assist with coordinating records for new patients and ensure required information is available before scheduled visits.
Maintain accurate and complete patient information in the EHR and practice management systems.
Monitor front desk workflows and proactively address issues that could cause delays or negatively impact the patient experience.
Communicate effectively with physicians, clinical staff, management, patients, referring offices, and other healthcare organizations.
Maintain patient confidentiality and comply with HIPAA and practice policies at all times.
Keep the reception and front desk areas professional, organized, and patient-ready.
Provide front desk coverage at other practice locations when needed.
Adapt to schedule and location changes based on provider schedules, staffing levels, and operational needs.

Qualifications & Requirements

High school diploma or GED required.
Minimum of 2 years of front desk experience in a busy medical practice required
Experience in OB/GYN, oncology, specialty medicine, or another high-volume healthcare setting preferred.
Strong knowledge of medical front desk operations, including scheduling, registration, insurance verification, referrals, patient collections, and medical records.
Experience using EHR and practice management systems; NextGen experience is a plus.
Proficiency with Microsoft Office and general computer applications.
Excellent verbal and written communication skills.
Exceptional customer service and interpersonal skills, including the ability to communicate compassionately with patients experiencing difficult or stressful circumstances.
Strong organizational, multitasking, and time-management skills.
Excellent attention to detail and commitment to accuracy.
Ability to prioritize multiple competing responsibilities without becoming overwhelmed in a fast-paced environment.
Strong problem-solving skills and the ability to take initiative rather than waiting for direction.
Dependable, punctual, flexible, and able to work effectively both independently and as part of a team.
Ability to handle confidential and sensitive patient information professionally.
Must have reliable transportation and be willing and able to travel between practice locations, including Fairfax, Manassas, Loudoun, Fredericksburg, Silver Spring, and other Maryland locations as needed.
Must be flexible with work location and schedule based on practice coverage and operational needs.

Pay: $22.00 - $24.00 per hour
