Full Job Description

Job Overview

We are seeking an energetic and highly organized Senior Meeting Planner/Event Facilitator to lead the planning, coordination, and execution of exceptional events, conferences and meetings for TSI on our Federal Transit Administration (FTA) support contract.

This dynamic role requires a proactive professional who excels in managing multiple projects, negotiating with vendors, and delivering outstanding customer service. As a key contributor to our events team, you will ensure each event aligns with organizational goals, stays within budget, and exceeds attendee expectations. Your expertise in event marketing, budgeting, and hospitality will drive memorable experiences that foster engagement and success.

Qualifications

10 years of experience in managing events and conferences for government agencies
5 years of experience in managing a team
Bachelor’s Degree
Ability to perform administrative duties such as reviewing quality documents, reports and slides and coordinating briefings, conferences, teleconferences, telephone inquiries, meeting preparation, attendance and minutes
Microsoft Office (Word, Excel, PowerPoint) experience in preparing, editing and finalizing correspondence, documents and briefings
Ability to manage time and events effectively
Proven experience in event planning or hospitality roles such as hotel management or restaurant operations; banquet experience is highly desirable.
Strong negotiation skills with the ability to secure contracts that benefit both organization and vendors.
Demonstrated ability to manage budgets effectively while maintaining high-quality standards for events.
Exceptional organizational skills with keen attention to detail; capable of managing multiple projects simultaneously under tight deadlines.
Outstanding communication skills for liaising with clients, vendors, guests, and internal teams.
Technical proficiency in event management platforms, CRM systems and audiovisual equipment operation.
Experience in managing large-scale events within hospitality settings such as hotels or restaurants is preferred.
Strong customer service orientation combined with proactive problem-solving abilities.

Duties

Lead end-to-end event planning processes, including venue selection, catering arrangements, technical setup, and guest management.
Negotiate contracts with vendors such as caterers, decorators, audio-visual providers, and venue managers to secure favorable terms.
Develop and manage detailed event budgets, tracking expenses and optimizing resource allocation to maximize value.
Coordinate event marketing efforts through targeted outreach, promotional campaigns, and social media strategies to boost attendance and engagement.
Oversee all aspects of event logistics, including registration management, guest services, and on-site facilitation to ensure seamless execution.
Manage relationships with clients and stakeholders by providing exceptional customer service, clear communication, and timely updates throughout the planning process.
Upsell additional services or enhancements such as premium catering options or entertainment packages to enhance event experiences.
Ensure compliance with health and safety standards, including banquet arrangements, catering requirements, and venue policies.
Utilize technical proficiency with event management software and communication tools to streamline planning workflows.
Conduct post-event evaluations to gather feedback for continuous improvement and reporting purposes.
