About Tribeca Community School

For more than 20 years, Tribeca Community School has provided exceptional early childhood education to families in New York City. Position Summary

The Administrative Assistant & Family Services Coordinator serves as the first point of contact for current and prospective families while supporting the daily operations of the school. This individual plays a key role in creating an exceptional family experience—from a family’s first inquiry through their child’s enrollment and beyond—by ensuring the front office operates smoothly, communications are timely, and administrative systems are organized and efficient.

Working closely with the Program Director and Assistant Director, this role supports admissions, family communications, school operations, and the daily life of the school. It is ideal for someone who enjoys building relationships, thrives in a fast-paced environment, and takes pride in helping others feel welcomed, supported, and cared for.

ResponsibilitiesFamily Experience & Admissions

Serve as the welcoming face of Tribeca Community School for children, families, visitors, and prospective parents.
Respond promptly and professionally to phone calls, emails, and inquiries.
Schedule and coordinate school tours, admissions meetings, and family visits.
Guide prospective families through the admissions and enrollment process, ensuring a thoughtful and seamless experience.
Manage admissions records and student information in Brightwheel.
Coordinate enrollment paperwork and maintain accurate student records.
Support onboarding for new families, helping them transition smoothly into the school community.
Prepare newsletters, reminders, and other family communications
Help coordinate admissions events, open houses, and community outreach activities.

School Administration

Maintain student files and ensure all required documentation is complete and organized.
Manage attendance records and daily administrative processes.
Coordinate calendars, meetings, and school-wide events.
Prepare reports, forms, correspondence, and other administrative documents.
Order and maintain office and classroom supplies.
Help maintain a welcoming, organized, and professional front office environment.

Operations Support

Assist with tuition records, invoicing, payment tracking, and related administrative processes.
Support licensing documentation and compliance requirements.
Coordinate deliveries, vendors, and facility-related requests.
Provide administrative support to the Program Director and Assistant Director.
Assist with special projects that support the successful operation and continued growth of the school.

Technology

Become proficient in Brightwheel and other school management systems.
Maintain accurate electronic records and databases.
Assist families and staff with technology-related questions.
Identify opportunities to improve administrative systems and workflows.

Qualifications

Associate’s or Bachelor’s degree preferred.
Minimum of two years of administrative, office management, customer service, admissions, or school office experience.
Experience in a preschool, school, childcare, healthcare, hospitality, or other family-facing environment is strongly preferred.
Outstanding organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Warm, professional, and relationship-oriented.
Able to prioritize multiple responsibilities while maintaining accuracy and a positive attitude.
Proficiency with Google Workspace and Microsoft Office.
Comfortable learning new technology platforms, including Brightwheel.
