Full Job Description

Position Summary

The Office Administrator / Billing Coordinator keeps CES running day to day. This is a 3 day (24H) per week job paying $35-$45 per hour. Reporting to the Owner, you’ll record incoming bills, invoice customers and follow up until they pay, send equipment tracking and order updates to customers, send the firm’s marketing emails, schedule service calls, and keep the company calendar. It’s a mix of billing coordination, customer communication, and office administration. Success takes organization, reliable follow-through, and clear communication with minimal supervision. The only requirement is being very organized, detail oriented, and able to learn new systems. Everything can be learned on the job.

What You’ll Own

Billing & Invoicing (the core of this role)

Record incoming vendor and manufacturer bills accurately and on time
Create and send customer invoices
Follow up on outstanding invoices by phone and email until they’re paid
Keep an accurate view of what’s owed and when (aging) and resolve billing questions professionally
Record incoming payments (ACH, check, card)

Order & Equipment Tracking

Track equipment orders from purchase order through shipment and delivery
Send tracking numbers and shipment updates to customers and reps
Follow up with manufacturers on lead times and delivery dates
Flag delays early and keep the team and customer informed

Marketing & Communications

Send the firm’s marketing emails and manufacturer-line spotlight campaigns (HubSpot)
Keep contact lists clean and up to date in the CRM
Coordinate promotional sends, event invitations, and follow-ups

Scheduling & Calendar

Schedule service calls and coordinate timing between customers, technicians, and manufacturers
Own and maintain the company calendar
Set up meetings, appointments, and reminders for the team

Office Administration

Order supplies and manage office / vendor coordination
Keep digital and physical files organized
Provide general administrative support to ownership

Who We’re Looking For

Highly organized and reliable—nothing falls through the cracks
A self-starter who follows through without being managed
A clear, professional communicator in writing and by phone
Detail-oriented with invoices, tracking, and scheduling
Comfortable learning and using software (QuickBooks, HubSpot, Google Workspace)
Enjoys keeping an operation organized and on schedule

Qualifications

No prior administration required/ willing to learn and fast learner is acceptable
Comfortable with, or able to quickly learn, QuickBooks Online to record bills and send invoices
Comfortable with, or able to quickly learn, a CRM / email marketing tool (HubSpot a plus)
Strong Excel / Google Sheets and general computer skills
Excellent written and verbal communication; confident on the phone
Able to juggle multiple priorities and stay organized
Plus: experience in HVAC, construction, distribution, or another equipment or service business
Located within commuting distance of Midtown Manhattan

What Success Looks Like — First 90 Days

Bills are recorded promptly and customer invoices go out on time
Outstanding invoices are followed up on consistently and receivables stay current
Equipment tracking and order updates reach customers reliably
Marketing emails go out on schedule
Service calls are scheduled smoothly and the company calendar is accurate and current
The office runs in an organized, responsive way with minimal oversight

Compensation & Benefits

$35-45 / hour based on experience
Tuesday, Wednesday, Thursday | 8 Hours Per Day / 24 Hours per Week Guaranteed

Our customers are mechanical engineers, contractors, building owners, and facility operators.

This is a newly created role. As the firm grows, we need one organized, reliable person to keep billing, orders, and the office running day to day—working directly with the owner.

Pay: $35.00 - $45.00 per hour

Work Location: Hybrid remote in New York, NY 10018
