We're a fast-growing startup working with leading global brands and are looking for an Operations Associate to help build scalable internal processes while supporting our finance, operations, customer administration, and accounting functions.

The Opportunity

This is an ideal role for someone early in their career who enjoys organization, solving problems, and making businesses run more efficiently. You'll work closely with the Director of Finance & Operations and gain exposure to nearly every aspect of running a high-growth technology startup.

No two days will be the same. One day you may be processing invoices and reconciling accounts, the next coordinating customer onboarding, organizing investor documentation, or improving internal business processes.

If you're highly organized, detail-oriented, and enjoy taking ownership of projects, this role provides tremendous growth opportunities.

What You'll Do

Finance & Accounting

Process accounts payable
Generate customer invoices and assist with accounts receivable collections.
Perform monthly bank and credit card reconciliations.
Maintain accurate financial records in QuickBooks.
Assist with month-end close activities, including journal entries and account reconciliations.
Assist with expense reporting and employee reimbursements.
Support annual financial review, tax preparation, and audit requests.
Maintain vendor records and assist with purchase orders and payment tracking.

Operations & Administration

Support day-to-day business operations across multiple departments.
Maintain company documentation, SOPs, and internal knowledge base.
Coordinate office operations, supplies, vendors, and facilities.
Manage company software subscriptions and vendor renewals.
Organize company files and maintain document repositories.

Customer Operations

Assist with contract administration.
Ensure contracts and related documentation are accurately maintained in HubSpot.
Support customer reporting and operational requests.

Process Improvement

Document and improve internal workflows.
Create templates, checklists, and standard operating procedures.
Identify opportunities to automate repetitive administrative and accounting tasks.
Improve consistency and efficiency across finance and operational processes.

What We're Looking For

Required Qualifications

Bachelor's degree in Accounting, Finance, Business Administration, or related field.
1–3 years of experience in accounting, bookkeeping, finance, operations, or office administration.
Basic understanding of bookkeeping and accounting principles.
Strong proficiency in Microsoft Excel and Google Sheets.
Exceptional organizational and time management skills.
Strong attention to detail and accuracy.
Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications

Experience with QuickBooks Online.
Experience with HubSpot or CRM systems.
Experience with expense management and month-end close.
Familiarity with project management software.
Experience working in a startup or high-growth environment.
Interest in AI, technology, or SaaS.

Success in This Role

Within your first 90 days, you'll be expected to:

Take ownership of accounts payable and invoicing processes.
Successfully complete monthly bank and credit card reconciliations.
Coordinate customer contract administration through HubSpot.
Become a trusted resource for finance and operational support across the company.
