Full Job Description

Wilson College is seeking an organized, service-oriented, and detail-focused Human Resources Coordinator to join our Human Resources team. If you enjoy building relationships, creating exceptional first impressions, and helping people navigate every stage of the employment journey, we'd love to hear from you.

The Human Resources Coordinator serves as the primary administrative support professional for the Human Resources Office and is often the first point of contact for employees, applicants, students, and campus visitors. This position coordinates the onboarding and employment administration for all categories of Wilson College employees, including full-time and part-time faculty, staff, adjunct faculty, student employees (including the Work Study program), temporary employees, coaches, and other employee classifications.

Because onboarding requirements vary by employee type, this position must accurately coordinate hiring documentation, HRIS processing, employment eligibility verification, payroll setup, communications, and compliance requirements specific to each employee classification. The Human Resources Coordinator also supports payroll operations, employment records management, HR compliance activities, and the daily administrative functions of the Human Resources Office while providing exceptional customer service and maintaining the highest level of confidentiality.

ESSENTIAL FUNCTIONS:

Office Administration & Customer Service

Serve as the primary in-office administrative support for the Human Resources Office.
Welcome visitors and assist employees, applicants, students, and campus guests.
Monitor the Human Resources email inbox and respond to routine inquiries or direct requests to the appropriate staff member.
Answer telephone calls and provide general HR information.
Assist employees with benefits enrollment, qualifying life event changes, and routine benefits-related inquiries.
Assist with employment posting administration, applicant communications, interview scheduling, and hiring documentation.
Maintain department calendars, forms, office supplies, and shared resources.
Prepare correspondence and employee communications.
Assist with special projects and departmental initiatives.

Employee Onboarding

Coordinate and administer the onboarding process for all employee classifications across the College.
Facilitate onboarding for all employee classifications, including faculty, staff, adjunct faculty, student employees, temporary employees, coaches, and other specialized appointments.
Apply onboarding procedures appropriate to each employee classification, including employment documentation, payroll setup, benefits eligibility, and institutional requirements.
Prepare and distribute welcome communications and onboarding materials.
Coordinate first-day schedules and introductions for new employees.
Conduct new employee onboarding meetings.
Ensure all required employment documentation is completed prior to the employee's start date.
Process new hire information within the HRIS and maintain onboarding checklists to ensure a consistent and compliant onboarding experience.
Partner with supervisors, hiring managers, Academic Affairs, Athletics, Student Affairs, and Payroll to facilitate timely onboarding and employment processing.

Payroll & HRIS Support

Serve as backup for payroll processing.
Review payroll registers for discrepancies prior to payroll acceptance.
Process routine employee changes within Paycom.
Maintain accurate employee records.
Assist with benefit reconciliations.
Maintain ACA information within Paycom.

Compliance & Records

Complete I-9 processing and employment eligibility verification.
Maintain employment files.
Assist with labor law posting requirements.
Maintain filing systems.
Prepare documents for audits.
Assist with record retention.

Administrative Support

Provide administrative support for employee relations matters, investigations, hearings, and related meetings as assigned.
Prepare notes, reports and meeting materials as needed or assigned.
Perform other administrative duties as assigned.

COMPETENCIES:

Ability to understand and accurately apply onboarding procedures and employment requirements across multiple employee classifications, appointment types, and payroll groups.
Ability to interpret established procedures and ensure required documentation is complete before processing employment actions.
Strong customer service skills and a welcoming, professional demeanor.
Ability to maintain strict confidentiality.
Excellent written and verbal communication skills.
Strong computer proficiency, including Microsoft Office and HRIS systems.
Dependable, adaptable, and able to follow established procedures accurately.

POSITION TYPE AND EXPECTED HOURS OF WORK:

Full-time, non-exempt position. The normal work schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m., with a one-half (½) hour unpaid meal period, for a standard 40-hour workweek.
This position is primarily onsite and is not eligible for routine remote or hybrid work due to the operational responsibilities of the Human Resources Office and the need to provide in-person support to employees, applicants, students, and campus visitors. The College may temporarily modify work arrangements during inclement weather, campus emergencies, or other operational needs, including authorizing or requiring remote work when appropriate.
Occasional work outside of normal business hours may be required to support new employee orientation, training sessions, special projects, or other Human Resources initiatives.
Overtime must be approved in advance by the Director of Human Resources in accordance with College policy.

EDUCATION & EXPERIENCE:

Associate's degree in Human Resources, Business Administration, Office Administration, or a related field preferred. Equivalent combinations of education, training, and relevant experience will be considered.
Two (2) or more years of progressively responsible administrative experience required; experience in Human Resources, payroll, higher education, or a related office environment is strongly preferred.
Experience coordinating multiple processes with exceptional attention to detail and accuracy.
Experience maintaining confidential information and exercising sound judgment in handling sensitive matters.
Experience using Microsoft Office Suite (Outlook, Word, Excel, and Teams) required.
Experience working with Human Resource Information Systems (HRIS); Paycom experience preferred.
Experience supporting payroll processing, employee onboarding, benefits administration, or employment recordkeeping is preferred.
Demonstrated ability to learn and accurately apply complex procedures, regulations, and institutional policies.
Excellent organizational, interpersonal, and customer service skills with the ability to manage multiple priorities in a fast-paced environment.
Experience working in a higher education environment or an organization with multiple employee classifications is preferred.
