Introduction
New England Property Services Group, LLC is seeking a motivated, detail oriented, and highly organized individual who is interested in building real world experience at the intersection of property insurance claims, legal operations, regulatory work, client communication, and property related documentation.
This is not a traditional administrative role. This position is designed for candidates who want to develop practical skills in claim coordination, documentation, legal support, public records work, regulatory issues, and property related operations in Massachusetts and Rhode Island.
This role is best suited for candidates who are proactive, self directed, comfortable learning new systems, and able to identify what needs to be done without constant direction.
The role provides a structured growth path for individuals interested in building a long term career in claims, legal operations, regulatory work, public records, homeowner education, business development, or related operational support.
About NEPSG
New England Property Services Group, LLC is a general contracting and claim recovery company operating in Massachusetts, Rhode Island, and Connecticut. NEPSG assists with residential property damage claims involving events such as wind, rain, ice, snow, water overflows, and other covered causes of loss.
These claims may involve roofing, siding, interiors, ceilings, flooring, walls, cabinetry, mitigation, remediation, appraisal, litigation, claim documentation, payment recovery, and related insurance issues.
A significant portion of NEPSG’s work is performed throughout Rhode Island. The company is currently evaluating expansion into the Providence, Rhode Island area, and future roles may be based in or around Rhode Island depending on growth and operational needs.
Position Details
- Location: Fall River, Massachusetts, in office
- Possible future location: Providence, Rhode Island area
- Schedule: Full time preferred
- Remote work: Limited and only by approval
- Travel: Local travel within Massachusetts and Rhode Island required
- Compensation: $18.00 to $30.00 per hour, based on experience and capability
- Expected hours: Up to approximately 50 hours per week, depending on workload, meetings, events, and company needs
Role Overview
The Property Claims & Legal Operations Coordinator supports NEPSG’s day to day operations related to residential property damage claims, claim documentation, legal operations, file organization, client communication, property visits, regulatory work, and internal workflow.
This role involves a combination of office based coordination and occasional field support. Field support may include property visits, documentation collection, photographs, notes, meetings, inspections, events, or other work related activity in Massachusetts or Rhode Island.
The successful candidate must be comfortable working in a fast moving office environment where claim files, legal documents, project records, photos, estimates, invoices, policies, contracts, pleadings, correspondence, appraisal materials, receipts, and payment documents must be organized accurately and efficiently.
This role requires more than general administrative experience. We are looking for someone who can read instructions carefully, work with detailed records, follow up without constant prompting, communicate professionally, maintain confidentiality, and help NEPSG build better internal systems.
Core ResponsibilitiesClaims and Documentation
- Organize and maintain claim files from intake through completion
- Assist with claim intake, summaries, documentation, and file preparation
- Help ensure claim files are complete, structured, and ready for internal review, attorney review, appraiser review, or AI assisted review
- Organize contracts, assignments of claim, directions to pay, policies, estimates, invoices, receipts, photographs, appraisal materials, pleadings, correspondence, and related records
- Assist with scanning, saving, naming, and filing claim related documents
- Identify missing, duplicated, unclear, or misfiled documents
- Help prepare clean document packets for review by ownership, attorneys, appraisers, staff, or outside professionals
Legal and Administrative Support
- Assist with preparation of legal and claim related documents when assigned
- Support document filing, organization, tracking, and follow up
- Assist with legal operations support, regulatory research, public records work, claim documentation, and internal project tracking
- Maintain confidentiality and accuracy in all documentation
- Assist with communications to attorneys, appraisers, insurers, clients, vendors, opposing counsel, and internal staff when directed
- Track deadlines, reminders, follow up dates, meetings, claim response deadlines, appraisal deadlines, and internal task assignments
Coordination and Field Support
- Schedule inspections, meetings, and appointments when needed
- Attend property visits when needed to assist with documentation
- Take and organize photographs, notes, and supporting materials
- Attend meetings, inspections, networking events, political events, community events, or business events when requested
- Assist with homeowner education, client communication, relationship building, and follow up tasks when assigned
File Control and Office Support
- Assist with server folder organization and file naming
- Navigate project folders, subfolders, Google Drive, and other systems
- Follow strict naming conventions for files and folders
- Create and update spreadsheets, trackers, logs, file indexes, status reports, and project lists
- Assist with checking mail, scanning documents, organizing paper files, ordering supplies, using office equipment, and keeping work areas organized
- Use office tools such as scanners, printers, copiers, staple removers, letter openers, folders, binders, labels, and related supplies
