This role is key to supporting our clients' needs and ensuring a seamless and positive experience at every stage of their financial journey.

Position Success Profile: A successful Financial Assistant at Legacy Wealth will provide critical support to our President and other financial advisors, ensuring smooth operations in managing client accounts and investments. The role involves administrative tasks, data management, and client communication. This position is ideal for someone seeking to grow within the financial services industry, with a strong interest in investment management, financial analysis, and client service.

Key Responsibilities:

Client Account Management

Assist in maintaining and organizing client portfolios, ensuring all client information is up to date and accurate.
Respond to client inquiries via phone, email, and in-person, ensuring timely and professional communication.
Prepare and process client account forms, investment transactions, and fund transfers.
Maintain accurate and up-to-date client records in our CRM system.
Coordinate with custodians and third-party service providers to ensure seamless execution of client transactions.

Administrative Duties

Provide administrative support to financial advisors, including managing calendars, scheduling meetings, and preparing meeting materials.
Prepare and organize client presentations, proposals, and investment reports.
Assist in preparing and processing various documents, including account applications, transfer forms, and compliance paperwork.
Maintain filing systems, both digital and physical, to ensure easy retrieval of client documents.

Client Communication

Act as a point of contact for clients, answering basic inquiries and forwarding more complex questions to financial advisors as needed.
Assist in preparing client communications, including letters, account updates, and investment summaries.
Ensure timely and accurate follow-up with clients on action items or requests.

Team Collaboration:

Collaborate with financial advisors and other team members to improve processes and enhance client service.
Support advisors in researching investment opportunities and market trends.
Participate in team meetings, training sessions, and professional development opportunities.

Qualifications:

Preferred: Bachelor’s degree in finance, accounting, business administration, or a related field.
At least 1-2 years of experience in an administrative, financial, or client support role.
Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Familiarity with financial planning software and CRM systems is advantageous.
Excellent organizational and time-management skills.
Strong attention to detail and a capacity to work effectively in a fast-paced environment.
Exceptional verbal/written communication and interpersonal skills.
Ability to handle sensitive and confidential information with discretion.
