Position Summary
The Office Manager serves as a key operational leader within Embrace Therapy Services and is responsible for overseeing day-to-day administrative, human resources, payroll, financial, billing, and office operations.
This position works closely with executive leadership, administrative team members, outside vendors, insurance representatives, and clinical staff to ensure efficient operations, outstanding customer service, financial accuracy, regulatory compliance, and a positive employee experience.
Core Responsibilities -
Human Resources & Employee Onboarding
- Coordinate and manage all employee onboarding and orientation activities.
- Assist with recruiting, interview coordination, hiring processes, and employee communications.
- Maintain personnel files and confidential employee records.
- Process employment paperwork including I-9s, W-4s, direct deposit authorizations, and employment agreements.
- Coordinate background checks, licensing verification, credentialing, and compliance requirements.
- Assist with employee relations and HR administration.
- Support benefits administration and enrollment processes.
- Monitor employee certifications, continuing education requirements, and compliance deadlines.
- Coordinate employee reviews and performance management schedules.
- Support organizational culture initiatives and team engagement activities.
Payroll, Finance & Controller Functions
- Process payroll accurately and on schedule.
- Maintain payroll documentation, compensation records, and PTO tracking.
- Coordinate with outsourced payroll, accounting, and financial service providers.
- Assist with financial reporting and operational reporting.
- Support budgeting, forecasting, and cash flow monitoring.
- Oversee accounts payable activities and vendor payments.
- Review financial records for completeness and accuracy.
- Identify opportunities for process improvement and operational efficiencies.
- Assist leadership with financial planning and business operations reporting.
Medical Billing & Revenue Cycle Support
- Assist with medical billing and revenue cycle management functions.
- Review billing information for completeness and accuracy.
- Support claims processing and payment reconciliation activities.
- Monitor accounts receivable and outstanding claims.
- Assist in denial management and claim follow-up efforts.
- Coordinate communication with insurance payers regarding reimbursement and billing questions.
- Generate operational and financial reports as needed.
- Support compliance with payer requirements and documentation standards.
Insurance Verification & Client Intake
- Verify insurance eligibility and benefits for new and existing clients.
- Review coverage requirements, visit limits, referrals, and prior authorization needs.
- Conduct ongoing insurance re-verification activities.
- Assist families with navigating insurance requirements.
- Ensure accurate client and payer information is maintained within electronic medical records.
- Coordinate communication between families, providers, and billing personnel.
- Support intake, referral, and authorization workflows to facilitate timely access to services.
Office & Healthcare Operations
- Oversee daily office management and administrative operations.
- Supervise and support administrative team functions.
- Manage office systems, supplies, equipment, and vendor relationships.
- Coordinate communication, scheduling support, and workflow processes.
- Develop and implement process improvement initiatives.
- Support company events, meetings, and operational projects.
- Ensure HIPAA compliance and adherence to organizational policies.
- Promote a positive, professional, service-oriented workplace culture.
QualificationsRequired Qualifications
- Associate's degree or Bachelor's degree in:
- Business Administration
- Accounting
- Finance
- Human Resources
- Healthcare Administration
- Operations Management
- Or related fields
- Minimum of three years of experience in one or more of the following:
- Office Management
- Healthcare Administration
- Human Resources
- Payroll Processing
- Operations Management

- Medical Office Administration
- Financial Operations
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and professionalism.
- Proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and Teams.
- Ability to manage multiple priorities and deadlines.

Compensation & BenefitsSalary Range
