Overview

We are seeking a dynamic and highly organized Office Services Coordinator to oversee the daily operations of our office environment, ensuring seamless administrative support and efficient management of office services. This role is vital in maintaining a productive workspace, managing vendor relationships, coordinating events, and supporting team members with their administrative needs. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an inviting and well-run office atmosphere that fosters collaboration and excellence.

Duties

Manage calendar scheduling, appointment setting, and meeting arrangements to optimize team productivity.
Coordinate office supplies procurement, inventory management, and vendor relationships to ensure smooth operations.
Oversee front desk activities including multi-line phone systems, visitor greeting, and client communication with professionalism and courtesy.
Plan and execute company events, meetings, and team-building activities to promote engagement and morale.
Handle confidential information with discretion while supporting human resources functions such as onboarding, training, and employee records management.
Maintain accurate bookkeeping records using accounting software like QuickBooks; assist with payroll processing and budgeting tasks.
Supervise clerical staff, provide training on office procedures, and foster a collaborative team environment focused on continuous improvement.

Qualifications

Proven experience in office management or administrative roles within a professional setting.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with spreadsheets for data organization.
Familiarity with financial software such as QuickBooks or other accounting tools; experience with bookkeeping, payroll, and budgeting is highly desirable.
Demonstrated event planning skills along with vendor management experience to coordinate logistics effectively.
Excellent communication skills—both verbal and written—with the ability to handle client interactions professionally.
Prior supervisory or team management experience to lead administrative staff confidently.
Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
Knowledge of medical office management or healthcare-related administrative procedures is a plus but not required.
