Full Job Description

A growing insurance defense law firm in White Plains, NY is seeking an experienced Billing Operations Specialist to oversee and continuously improve our legal billing operations. We are looking for a highly organized proactive professional who enjoys solving problems, streamlining processes, and leveraging technology to build scalable, efficient billing workflows. As our firm continues to grow, this position offers the opportunity to take ownership of the billing function, drive process improvements, and help shape the future of our billing operations, including working with technology teams to leverage available tools including AI to better develop dashboards, analytics and firm financial initiatives.

The ideal candidate takes highly organized, initiative, identifies opportunities for improvement, and develops practical solutions. We are seeking someone who embraces new technology, is comfortable driving the adoption of new systems and processes, and thrives in a collaborative, fast-paced environment.

Key Responsibilities

Manage all aspects of the firm's legal billing process from pre-bills through final invoice submission
Distribute monthly pre-bills, coordinate revisions, and process final invoices
Prepare, submit, and monitor electronic invoices using LEDES billing formats and client e-billing platforms
Track invoice status, resolve billing issues and rejections, and ensure timely payment
Work closely with attorneys and clients to address billing questions and improve billing efficiency
Identify opportunities to improve billing workflows, automate processes, and increase operational efficiency
Develop and maintain billing procedures and best practices to support the firm's continued growth
Generate timely billing and accounts receivable reports and assist with collection efforts
Serve as a key resource for billing systems, reporting, and technology initiatives

Qualifications

Minimum of 5 years of legal billing experience in a law firm
Extensive experience with LEDES billing and electronic billing platforms is required
Demonstrated ability to identify issues, take initiative, and implement effective solutions
Comfortable learning new technology and driving the adoption of new systems and processes
Strong organizational, analytical, and problem-solving skills
Exceptional attention to detail and accuracy
Excellent communication and interpersonal skills
Advanced proficiency in Microsoft Office, particularly Excel
Experience with Litify and Accounting Seed is strongly preferred
