Full Job Description

Job Summary:

The role of the Transportation Coordinator is to guide and manage the provision of Transportation services, policies and programs. The Transportation Coordinator ensures compliance with the State of New Mexico’s non-medical transportation regulations and monitors all drivers to ensure the safe transport of patients. He/she is also responsible for monitoring all drivers to ensure compliance with Agency Vehicle Policy, including overseeing and maintaining regular vehicle maintenance to ensure safety, reliability and operational readiness.

Requirements:

Must be able to pass a criminal background check.
Must be able to provide proof of right to work in the United States.
Must have a current driver’s license and have a clean driving record to be placed on the company’s insurance policy.
Always assure HIPAA compliance.
At least a high school diploma.
Be in a supervisory role for at least one (1) year.
At minimum, have three (3) years of prior fleet or transportation experience.
Willing to travel as deemed necessary.

Duties and Responsibilities:

1. Must be able to perform the duties of a Transportation Driver

· Must pass and maintain DOT physical requirements.

· Comply with the State of New Mexico’s credentialing requirements.

· Cover any trips at any time as determined by need and availability

· Complete documentation as required (i.e. trip logs, weekly inspections forms, etc.)

2. Supervise daily operations of the department

· Accepts, rejects and reroutes trips from referral sources;

· Schedule drivers for trips and training.

· Responsible for receiving, inputting and disseminating trip detail information to drivers.

· Receives, calculates and verifies driver trip logs to process for billing and files records accordingly.

· Monitors drivers company wide to ensure safe driving practices are applied and vehicle use is appropriate (i.e., trip logs, Verizon reveal connect, etc.).

· Completes and submits mileage adjustment forms to referral sources.

· Oversees billing for services rendered.

· Ensures maintenance is up to date on all vehicles in fleet.

· Oversees maintenance invoices to appropriate personnel.

· Oversee the orientation of new staff by providing them with the necessary documents and materials for orientation, training and credentialing.

3. Monitor & Address Audit Requests Proactively

· Prepare for Transportation audits by keeping driver records organized.

· Maintain login credentials for all transportation related sites and upload necessary driver requirements in the system.

· Ensure continued compliance with all driver’s credentialing requirements (i.e. DOT Physicals, Drug Testing, Training Requirements, etc.).

4. Ensure Compliance with Transportation Regulations

· Remain current with any changes in Federal and State regulation changes regarding Transportation issues and to report the changes to the appropriate personnel.
