POSITION DESCRIPTION

Title: Secretary (Piedmont Regional Juvenile Detention Center) 11-Months

Reports To: Principal

FLSA Status: Nonexempt

POSITION DESCRIPTION: To offer administrative support for the Principal, and support services within the educational department which may include: Establish and maintain school, local and State documents; compile and distribute materials; manage the site budget; handle the purchasing process and respond to inquiries from a variety of internal and external sources. Assist other personnel, as may be required, for the purpose of ensuring an efficient and effective work environment. Maintain a wide variety of files and records (manual/computer; confidential/non-confidential) in order to provide documentation in accordance with administrative and legal requirements. Coordinate office procedures, schedule meetings, work with parents, and activities that support the program. Support services for computer and student access accounts, tutorial and state testing needs for students participating in the SOLs, student transcript support documents, assessment of student tests which may include reading and math assessments, and other duties as assigned by the Principal.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Prepare and maintain a variety of written materials (e.g. State attendance reports, school attendance reports, Budget documents, SOP professional correspondences, memos, letters, purchase orders, substitute daily schedules posting, quarterly SOP reports, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
Respond to an array of inquiries from internal/external parties for the purpose of providing information, facilitating communication and/or providing direction.
Plan, organize, and schedule a variety of activities, meetings, as per the principal directives.
Prepare files and records for entering and withdrawing students on a SOP web based system or for reporting to Department of Juvenile Justice
Management of the site budget and student support and equipment such as computers, transition materials, and Chromebooks, pull-out reading assistance as needed, maintenance of library materials and checkouts
Prepare purchase orders and facilitate the Principal in the purchase process.
Attend local and State meetings, training, and workshops for the purpose of professional growth, recording events, and conveying and/or receiving information.

SUPERVISORY RESPONSIBILITIES

QUALIFICATIONS: At least 5 years' experience in an office environment. Knowledge of standard office equipment; proficient with technology and software, including Microsoft office suite
Understanding of office procedures including how to work with diverse groups. Proven success with budget keeping and purchasing. Demonstrated ability to problem solve Ability to work under limited supervision and to travel, at least yearly.

EDUCATION and/or EXPERIENCE

Experience in an educational office environment
Knowledge of standard office equipment; proficient with technology and software, including Microsoft office suite, Google
Understanding of office procedures including how to work with diverse groups
Success with budget keeping and purchasing
Demonstrated ability to problem solve
Ability to work under limited supervision and to travel, at least once yearly to SOP required trainings
Experience working with students in an educational setting
