Full Job Description

Position Summary: The Finance and Administrative Coordinator provides comprehensive administrative, financial-data, and project-coordination support to the Operations function of Habitat for Humanity of Northwest Arkansas. Reporting to the Director of Internal Operations, this role keeps the organization’s back-office systems accurate, organized, and audit-ready — entering and coding financial transactions, coordinating subcontractors and vendor compliance across active builds, managing schedules and documentation, and supporting cross-department reporting. This is a breadth role that requires an organized, finance-literate generalist who can move fluidly between detailed data work and time-sensitive coordination.

Essential Duties and Responsibilities:

Financial Data Entry & Coding

· Process, code, and submit receipts and invoices to accounting in a timely and accurate manner.

· Enter and maintain financial transactions in QuickBooks and supporting spreadsheets (data entry and coding only; reconciliations and month-end close are performed by the Director of Internal Operations and the organization’s CPA).

· Maintain accurate budget-tracking spreadsheets and financial records that feed downstream reporting.

· Upload, file, and archive invoices, receipts, and supporting financial documentation.

Construction & Vendor Coordination

· Coordinate subcontractor scheduling, permits, appointments, and follow-up across 2–3 concurrent volunteer builds.

· Maintain the contractor and vendor database, including tracking W-9s, Worker’s Compensation Insurance, and Certificates of Insurance (COI), and follow up on missing documentation.

· Track bid proposals and assist with procurement-related documentation.

· Support coordination of housing project selections (e.g., finishes and materials).

· Conduct outreach for in-kind donations on an as-needed basis.

Scheduling & Administrative Support

· Manage and maintain calendars, meeting invitations, interviews, and appointments.

· Assist with volunteer scheduling in collaboration with the Community Outreach Manager.

· Record meeting minutes and prepare summaries as needed.

· Answer incoming calls and provide general administrative support for the Operations function.

Records & Documentation Management

· Organize and maintain digital filing systems in SharePoint.

· Maintain safety documentation and tracking systems.

· Ensure documentation is complete, accurate, and audit ready.

Cross-Department Coordination & Reporting Support

· Serve as a liaison across Repair, Family Services, and Finance functions

· Provide grant-reporting support, including data compilation and documentation.

· Perform high-volume data entry with a high level of accuracy.

· Generate or assist with routine financial and operational reports.

Pay: $24.00 - $25.00 per hour
