Retro Knights Arcade is more than a place to play games. We are building a community around retro gaming, tournaments, LAN parties, birthday celebrations, private rentals, themed events, and memorable group experiences.
We are looking for an organized, outgoing, and creative Events Coordinator & Assistant Manager who can take event ideas from concept to completion.
This is not a traditional retail position. You will help create the experiences that bring people into the arcade, keep them coming back, and establish Retro Knights as a destination for gaming events throughout New England.
About the Position
The primary focus of this position is planning, coordinating, promoting, and running events at Retro Knights Arcade.
You will also assist with general arcade operations before, during, and after events.

Primary Objectives
Success in this role will be measured by your ability to:

- Deliver an outstanding experience for guests
- Help events operate smoothly from planning through cleanup
- Identify ways to improve future events based on attendance and guest feedback
Event Planning and Coordination
You will help develop and manage a consistent calendar of events, including:
- Halo tournaments
- Super Smash Bros. tournaments
- Street Fighter and fighting-game tournaments
- Mario Kart tournaments
- Retro gaming competitions
- LAN parties
- Board game nights
- Karaoke nights
- Community gaming nights
- Seasonal and holiday events
- School-vacation events
- Birthday parties
- Corporate and team-building events
- Private arcade rentals
- Gaming clubs and community-group events
Responsibilities include:
- Developing event concepts
- Selecting dates and creating event schedules
- Preparing event plans and estimated budgets
- Coordinating staffing, equipment, food, prizes, and supplies
- Managing registrations and guest communication
- Setting up and breaking down event spaces
- Running events from start to finish
- Keeping events on schedule
- Managing tournament brackets
- Coordinating prizes and awards
- Tracking attendance, revenue, expenses, and guest feedback
- Reviewing results and recommending improvements
Training on tournament platforms such as Start.gg can be provided.
Birthday Parties and Private Events
You will help manage the complete guest experience for birthday parties, private rentals, and group events.
Responsibilities include:
- Responding to event inquiries
- Explaining available packages and options
- Helping guests select the right experience
- Confirming schedules, guest counts, food needs, and special requests
- Preparing the arcade before each event
- Greeting party hosts and guests
- Coordinating event timing and activities
- Serving as the primary contact during the event
- Resolving issues quickly and professionally
- Ensuring the space is cleaned and reset afterward
- Following up when appropriate to encourage reviews and future bookings
Run Our Signature “Gauntlet” Experience
You will help operate Retro Knights Arcade’s custom Gauntlet Challenge.
Groups compete across multiple arcade games while you serve as the Game Master. You will:
- Welcome participants and explain the rules
- Organize teams or individual competitors
- Track scores using a tablet
- Keep the experience moving
- Build excitement and encourage friendly competition
- Resolve scoring or gameplay questions
- Announce results and recognize winners
- Create a memorable experience for every group
Full training will be provided.
Community Outreach and Event Promotion
You will help introduce new audiences to Retro Knights Arcade and build relationships throughout the community.
Responsibilities may include:
- Distributing event flyers
- Connecting with schools, colleges, gaming clubs, and community organizations
- Reaching out to local businesses and employee groups
- Building relationships with tournament organizers and gaming communities
- Identifying partnership and cross-promotion opportunities
- Promoting birthday parties, private rentals, and corporate events
- Coordinating event listings with local calendars and organizations
- Working with the arcade’s marketing team to provide event details, schedules, photographs, and promotional needs
This position does not require managing the arcade’s social-media accounts or producing regular social-media content.
Arcade Operations
Although events are the primary focus, you will also assist with routine arcade operations.
Responsibilities include:
- Opening and closing the arcade
- Operating the register and processing admissions
- Greeting guests and answering questions
- Explaining memberships, events, birthday parties, and private rentals
- Monitoring arcade machines and reporting issues
- Assisting with basic troubleshooting when appropriate
- Managing snacks, drinks, prizes, and event supplies
- Supporting employees during busy periods
- Handling guest concerns professionally
- Helping maintain a safe, organized, and welcoming environment
- Working independently or alongside other team members
Event Budgets and Recordkeeping
Strong organization is essential.
You may be responsible for:
- Preparing proposed event budgets
- Tracking registrations and payments
- Recording event expenses
- Maintaining calendars and planning documents
- Monitoring prize and supply inventory
- Preparing simple post-event summaries
- Tracking attendance and revenue
- Saving receipts and event-related documentation
- Keeping management informed about event progress and concerns
Major expenses and event commitments must receive management approval before they are made.
General Facility Responsibilities
Everyone on the Retro Knights team helps keep the arcade looking its best.
Responsibilities include:
- Event setup and cleanup
- Organizing tables, chairs, decorations, and equipment
- Restocking snacks, drinks, and supplies
- Emptying trash
- Cleaning gaming and party areas
- Resetting rooms after events
- Keeping entrances, walkways, and event spaces organized
- Helping ensure every guest enters a clean and welcoming environment
Technology and AI-Friendly Workplace
Retro Knights Arcade embraces tools that help employees work more efficiently and creatively.
You may use approved technology and AI tools to assist with:
- Brainstorming event concepts
- Preparing event schedules
- Creating checklists
- Drafting event descriptions
- Organizing tournament formats
- Developing outreach ideas
- Preparing budgets and planning documents
- Improving guest communication
- Reviewing event results
Training and access to approved tools may be provided.

Weekend availability is strongly preferred.

After six months, a successful Events Coordinator might be:
