Office Manager – Psychiatric/wellness

Our Mission

We are a compassionate, patient-centered psychiatric practice dedicated to providing personalized mental health care in busy, warm, supportive environment. We see 700 patients a month on average. Our mission is to help individuals find balance, healing, and hope through evidence-based treatment and genuine human connection. Every member of our team plays a vital role in creating a safe, welcoming space where patients feel heard and cared for. Our provider specializes in addiction medicine, attention deficit disorder, Depression, anxiety and weight loss and hormone therapy for men and women.

The Impact You'll Make

As our Office Manager, you will be the heartbeat of our practice—ensuring that our clinician can focus on patient care while you keep the operations running smoothly. From managing schedules and coordinating patient communications to overseeing billing and compliance, your work will directly impact the quality of care we provide and the trust our patients place in us.

What You'll Do

Oversee daily office operations, ensuring a calm, organized, and professional environment for patients and staff.

Manage patient scheduling, appointment confirmations, and follow-ups with empathy and discretion. Insure medication orders are accurate and prescription sent on time.

Handle light billing, insurance verification, and claims processing with accuracy and timeliness.

Maintain patient records in compliance with HIPAA and other regulatory requirements.

Coordinate with clinician to ensure smooth workflows and timely communication.

Manage office supplies, vendor relationships, and basic bookkeeping tasks.

Identify opportunities to improve processes and enhance the patient experience.

What we are looking for candidate with various backgrounds, some suggestions being

Registered or Licensed Practical Nurse with experience in Management, Administration and or patient care.

Experience with Running a private practice, Rehab facility, County or state jail nursing position.

Experienced Manager for a private office related to healthcare

Proven experience in office management, mandatory healthcare or mental health setting.

Strong organizational skills and the ability to manage multiple priorities.

Familiarity with medical billing, insurance processes, and EHR systems (experience with Practice Q, Spruce patient communication system is a plus).

Familiarity with Grow Therapy and or Headway which is a third-party billing company.

Excellent interpersonal skills, with a warm, empathetic communication style.

Discretion and professionalism when handling sensitive patient information.

A proactive, solutions-focused mindset and a genuine passion for helping others.
