Pediatric Medicine Office Manager

Position Summary

We are seeking an experienced and highly motivated pediatric medicine Office Manager to oversee the daily operations of a busy pediatric medical practice. The ideal candidate will have strong experience in pediatrics, medical billing and collections, staff management, and patient relations, along with excellent communication and interpersonal skills.

This position requires a hands-on leader who can effectively manage day-to-day office operations, support and motivate staff, maintain high standards of patient service, and ensure the practice operates efficiently and financially responsibly.

Key Responsibilities

Oversee the daily operations of the pediatric medical office, ensuring an efficient, organized, and patient-focused environment.
Hire, train, supervise, schedule, and evaluate office staff.
Provide leadership, direction, and accountability to front-office and administrative team members.
Foster a positive, respectful, and collaborative workplace culture.
Manage patient registration, scheduling, check-in/check-out, telephone communication, and overall patient flow.
Monitor patient balances and collections, including outstanding accounts, payment arrangements, and appropriate follow-up on unpaid balances.
Identify billing and collection issues and work with staff to improve revenue cycle performance.
Monitor key operational and financial metrics and implement improvements when needed.
Ensure staff follow established policies, procedures, HIPAA requirements, and payer guidelines.
Address patient concerns and resolve problems professionally and compassionately.
Maintain strong relationships with patients, parents, providers, employees, and other members of the healthcare team.
Work closely with providers and leadership to identify operational challenges and develop effective solutions.
Maintain appropriate staffing levels and ensure adequate office coverage.
Assist with quality improvement, workflow development, and implementation of new processes.
Maintain a clean, professional, welcoming, and child-friendly office environment.

Qualifications

Previous experience managing a pediatric medical office.
Strong knowledge of medical billing, insurance processes, collections, and revenue cycle management.
Demonstrated experience managing, training, and developing employees.
Excellent communication, organization, problem-solving, and leadership skills.
Strong interpersonal skills with the ability to work effectively with children, parents, physicians, and staff.
Professional, compassionate, and approachable demeanor.
Ability to hold employees accountable while maintaining positive working relationships.
Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
Proficiency with EPIC.
Knowledge of HIPAA and healthcare regulatory requirements.

Preferred Qualifications

3+ years of pediatric medicine office management experience.
Experience with Epic, insurance verification, prior authorizations, denials, and accounts receivable.
Experience improving collections and overall revenue cycle performance.

Pay: $18.00 - $28.00 per hour

Expected hours: 40.0 per week
