Full Job Description

Meridian Health Services is looking for a Part-time Administrative Coordinator for our Outpatient treatment location. Schedule is Tuesday, Thursday, Friday 8:00am - 5:00pm.

Starting rate is $18/hour, plus our essential staff is being paid an additional $3.40/hour when working on-site

Position Overview:

The Administrative Coordinator is responsible for coordinating and supporting administrative operations within the substance use treatment facility. This position ensures administrative, clinical, and compliance processes are completed accurately and timely, supports clinical and leadership staff, and serves as a central point of coordination for scheduling, records management, communication, and customer service. The Administrative Coordinator performs duties in compliance with program policy and all applicable Federal, State, and County statutes and regulations, including HIPAA and 42 CFR Part 2.

Accountability Seat:

· Ensure high-quality customer services for clients, staff, and external stakeholders

· Confirm private insurance information and ensure coverage remains current

· Maintain client charts and administrative records for compliance

· Monitor and report missing or incomplete documentation

· Support audits, quality assurance, and regulatory requirements

Principal Duties and Responsibilities (Essential Duties):

1. Serve as a primary administrative contact for internal staff and external partners;

2. Assist with intake paperwork, insurance verification, confirmation of private insurance

information, Medicaid applications and annual insurance reviews;

3. Maintain client records in electronic health record system (e.g., Insync, Methasoft);

4. Upload, audit, and monitor documentation in compliance with HIPAA and 42 CFR

Part 2:

5. Monitor charts for missing documentation and notify appropriate staff;

6. Coordinate transportation services and specialty appointments;

7. Complete records requests, Recipient Rights paperwork, and compliance;

8. Collect co-payments and payments for services rendered;

9. Check clients in and out of appointments and track out-of-house activities;

10. Schedule, reschedule, and coordinate intakes, assessments, individual appointments,

evaluations, and out-of-house services;

11. Prepare discharge paperwork, certifications of completion, and discharge

documentation;

12. Coordinate daily administrative operations including typing, coping, filing, phone coverage and office reception; 13. Communicate with therapist, medical staff, case managers, courts, probation, and referral sources; 14. Perform other duties as assigned.

Supervision Exercised:

1. N/A

Qualifications:

· High school diploma or G.E.D. equivalent required;

· Associate’s or Bachelor’s degree preferred;

· Two (2) to three (3) years of administrative or clerical experience, preferably in

healthcare, behavioral health, or human services;

· Familiarity with office equipment and electronic health record systems.

Skills:

· Ability to type with speed and accuracy;

· Strong organizational and time-management skills;

· Ability to be professional, diplomatic, and maintain confidentiality;

· Proficiency in Microsoft Office and computer applications;

· Knowledge of HIPAA and 42 CFR Part 2 requirements;

· Ability to work efficiently with minimal errors.

Physical Requirements:

Ability to safely and successfully perform the essential job functions consistent with the

ADA, FMLA, and other Federal, State, and local standards, including meeting qualitative

and/or quantitative productivity standards. Ability to maintain regular, punctual attendance.

Must be able to lift and carry up to 50 lbs. Must be able to talk, listen, and speak clearly.
